As a Deposit Operations Manager you will:

  • Ensure the department meets internal and external member service expectations by empowering employees and maintaining a work environment which instills motivation, teamwork, and enterprising attitudes.
  • Oversee all aspects of the department’s operation including supervision of staff, hiring, performance management, reviews, coaching, one on one’s, meetings, and scheduling.
  • Participate in the establishment of goals, objectives, and standards of performance and accountability for Deposit Operations employees. Assist team members with the attainment of branch/department/organizational goals, in addition to their personal/professional goals.
  • Work cross-functionally within the organization to promote unity and consistency of operations within the organization and to identify and implement processes to improve the productivity and efficiency of credit union operations. Develop and maintain written procedures for Deposit Operations functions.
  • Ensure optimal resource utilization by regularly assessing the Deposit Operations team’s workload and prioritizing more efficiently to improve the balance of work across the team.
  • Provide service and support to retail operations, other departments and co-workers. Assist others with technical and transactional questions and troubleshoot processes, procedures, and products related to retail operations and deposit operations. Provide guidance in handling difficult or complex problems, and in resolving escalated complaints and inquiries.
  • Oversee the document archival system. Ensure documents are uploaded into the document archival system with proper indexing.
  • Manage the timely processing of high-risk items including deceased notifications and power of attorney requests.
  • Assist with the implementation and oversight of a quality control program related to retail banking and deposit operations tasks and responsibilities. Ensure the verification of address changes and monitor closed, inactive and dormant accounts.
  • Ensure mail is posted daily including negotiable items such as loan payoffs, regular payments, and deposits for other departments as needed. Manage returned mail by noting it in core and contact members to update bad addresses and outgoing mail.
  • Manage the accurate processing of deposits including Remote Deposit Capture (RDC), ATM deposits, and check holds. Identify fraudulent checks and verify the negotiability of checks per the credit union’s RDC guidelines.
  • Oversee the processing of wire transfers, incoming wires and process 2nd verification for wires received from branches, mortgage wires and wire transfer records. Review the daily wire packet by pulling a report with the daily wire activity, ensure outgoing wires are processed under dual control, member accounts are debited correctly, and OFAC was run on all parties.
  • Ensure Verifications of Deposits (VODs), SSI Asset Verification and member account research are done in a timely manner.
  • Ensure team processes all requests for lost, stolen and account transfers. Follow guidelines to ensure that old account is disabled and new account is fully functional.
  • Assist VP Deposit Operations with branch audits including but not limited to prep and site work. Ensure that branch night deposit logs, proof summaries and monthly/quarterly cash audits are saved in accordance with established protocols.
  • Monitor the Retail Banking procedures in MyHub to ensure all procedures are up to date. Recommend changes if updates are needed.
  • Oversee the timely and accurate submission of Currency Transaction Reports (CTRs) and Monetary Instrument Logs (MILs) to Compliance for review and processing. Follow up with branches on requests from the Compliance Department regarding missing forms or information.
  • Perform other duties as assigned.

Job Specifications:

  • Requires education equivalent to a four-year high school education or general education degree (GED). Bachelor’s Degree preferred.
  • A minimum of 6 years of financial institution experience, 2 years of which must have been a supervisor or managerial role.
  • Extensive knowledge of credit union banking products and services, policies, and standard operating procedures required.
  • Prior branch banking or EFT experience required.
  • Experience with automated core banking systems required.
  • Utilizes computer and general office equipment. Knowledge of PC applications including Word and Excel required.
  • Professional well developed interpersonal skills essential for servicing credit union members and projecting a positive image as representative for the credit union. Approaches others in a tactful manner, reacts well under pressure, accepts responsibility for own actions, and follows through on commitments.
  • Ability to manage multiple projects in a fast paced, deadline driven environment.
  • Ability to independently make and act upon decisions that support department and credit union goals, objectives, and philosophy.
  • Intermediate mathematical skills required (calculations and concepts involving decimals, percentages, fractions, etc.)
