Description

Job Summary:

This position is under the supervision of the Quality Assurance/Office Manager and is responsible for the administrative support of day-to-day Service Coordination operations.

Essential Functions:

  • Maintains and updates workflow systems and reporting tools
  • Alerts Management to concerns acquired through reporting tools
  • Maintains a clear understanding of Agency computer programs
  • Answers the Agency’s 800 line and field calls as necessary
  • Type’s correspondence as necessary and send to the appropriate individuals or departments
  • Schedules, Attends and takes minutes for meetings as necessary or required by Supervisor.
  • Maintain knowledge of HIPAA and adhere to all legal requirements of the law
  • Maintain knowledge of all OLTL programs and waivers
  • Maintain Reports for the Board as requested by CEO.
  • Assist with surveys, tracking, maintaining and reporting to Management.
  • EIM tracking, follow up, spreadsheets, maintain etc. Report to Management with issues.
  • Complaint tracking, maintaining, and follow up. Report to Management with issues.
  • Maintain tracker for billable sc units, etc as requested by Management.
  • Create spreadsheets and tracker for missing paperwork and service notes for Management.
  • Complete monthly Quality calls to participants. Track, maintain and follow up with issues. Notify Management when needed.
  • Maintain Quality Efficiency Meeting (NCQA) requirements, gather information, maintain tracker, and ensure all standards are met. Notify Management of any issues.
  • Certified Investigator(complete required investigations and keep certification active)
  • Complete Trainings as assigned or required by Supervisor
  • Assist with day-to-day operations in the office
  • Perform other duties as assigned by your Supervisor

Requirements:

Education

  • One-year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience

Work Experience

  1. Three to five years of clerical experience required
  2. Familiarity with Microsoft Office
  3. Non-profit, Human Resources, or healthcare experience preferred

Knowledge, Skills, and Abilities

  14. Active promotion of safety and security procedures, and proper use of equipment and materials
  15. Possession of a valid driver’s license and access to a private vehicle for day-to-day job performance due to requirement for some travel to our satellite office in Duncansville and our group homes. The Agency also requires a Motor Vehicle Record Check.
  16. In accordance with Federal and the state of Pennsylvania regulations governing facilities/agencies that offer care-dependent services, a facility/agency may not hire an applicant nor retain an employee required to submit a criminal history report if the criminal history report reveals a felony conviction under The Controlled Substance, Drug, Device and Cosmetic Act or a conviction under any of the Pennsylvania Crime Codes. In addition, any felony offense under Chapter 39, of the Crime Code (relating to theft & related offenses), or two or more misdemeanors under Chapter 39 will prohibit hiring of the applicant or retaining the employee. Agency requires a Criminal Background Check (may require an FBI check as warranted) as well as a Child Abuse History Clearance at the time of hire and periodically throughout employment

 Physical Demands:

  1. Physical demands include prolonged sitting, typing, standing, driving, and lifting files.
  2. The employee is frequently exposed to outside weather conditions including poor driving conditions.
  3. The employee must occasionally lift and/or move 50 pounds.
  4. The employee must be able to handle high stressful situations on a day to day basis.
