The Role:
We are seeking a Senior Payroll Specialist to join our team here in Louisville, KY. The ideal candidate is a team player with advanced knowledge of payroll regulations and best practices, meticulous attention to detail, and strong analytical skills. This role will be responsible for leading and overseeing the Sales and Distribution side of payroll alongside a dedicated Payroll Specialist who will support you in this function as well as the Senior Payroll Manager who you will report to and work closely with.
Duties and Responsibilities:
· Updates, maintains, and reviews employment records in ADP Workforce Now (HRIS) by supporting the Payroll Specialist with being the liaison between HR/Payroll/Finance to ensure seamless payroll processes.
· Assists with processing payroll on a bi-weekly basis and any off-cycle payrolls, ensuring that deductions and contributions are processed in accordance with company policies and regulations per state/federal guidelines.
· Provides guidance and instruction to employee inquiries regarding payroll and benefit related matters.
· Assists with entering employee information after HR onboarding, auditing new hires in HRIS, and reviewing employment records for payroll processing.
· Conducts internal and external audits of employment data, creates customized reporting, and year-end document processing (including W-2’s, W-2 C’s, 1095’s, and 1095-C’s).
· Stays up to date on local, state, and federal payroll regulations to ensure compliance, as well as managing all required tax documents and deductions.
· Researches and resolves payroll discrepancies, files garnishment inquiries, and builds process improvements and efficiencies in collaboration with the Payroll Specialist and Senior Payroll Manager.
· Reconciles quarter-end and periodic reporting for payroll tax data and calculates retro pay/pay adjustments.
· Uploads tax documents and registration forms for various local/state tax jurisdictions with ADP Smart Compliance and sets up various tax jurisdictions if applicable for employees.
· Reviews 401(k)/benefit updates and file feeds for accuracy and fills in any gaps/errors that arise in cooperation with HR/Benefits Broker.
Requirements
· 3 years of Payroll Processing and/or relevant experience.
· High school diploma required; college degree is preferred.
· Strong communication, time management, organizational, and analytical skills.
· Prior leadership experience preferred.
· Ability to handle confidential information with discretion.
· Team player with collaborative mindset.
· Motivated to work cross-functionally in a customer service-oriented capacity.
· Previous experience in ADP Workforce Now is a plus, must have prior HRIS experience.
