Executive Administrative Assistant
Position Overview: The Administrative Assistant provides administrative support for the Office of Academic Affairs.
Essential Duties:
  • Serves as a welcoming, knowledgeable, and efficient resource for students, faculty, callers, and visitors to the Office of Academic Affairs.
  • Provides professional and proactive administrative support to the Office of Academic Affairs. Examples: Data management, schedules Meetings, processing financial requisitions, updates to the academic catalog, reserving meeting rooms, managing the the Academic Affairs Digest, preparing minutes, and monitoring the office's budget
  • Implements, creates, and revises administrative systems and procedures by analyzing operating practices, recordkeeping systems, forms control, and budgetary and personnel requirements.
  • Contributes to the coordination of the office's work through regular communication and collaboration with the Vice Provost of Academic Affairs, college deans, faculty, and other university offices.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
  • Provides general administrative support and minutes for the Board of Regents; Academic Committee.
  • The most significant duties have been included in this description. This does not preclude the assignment of occasional additional or developmental duties.
Education & Experience:
  • Required: Associate's Degree
  • Preferred: Bachelor's Degree
  • Required 1-3 years: Extensive experience with office software: Excel, Word, PowerPoint and database reporting
  • Preferred 1-3 years: Professionally interfacing with the public, students, faculty, and vendors
  • Preferred 1-3 years: Office and clerical experiences, managing multiple tasks, meeting deadlines, professionally preparing and correcting documents, maintaining confidentiality
  • Preferred 1-3 years: Office administrative experience in a higher education setting
