Catering Event Coordinator

Pays up to $52,000 a year plus yearly bonus

Reports to: Catering Sales Manager
Summary:
The Catering Event Coordinator is primarily responsible for seamless special events. This person is highly organized, attentive and skilled in event management. They think quickly, are great problem solvers and effectively communicate with all guests and internal team in a friendly, courteous and timely manner.

Job Duties:
Be heavily involved in Event Pre-Planning, including but not limited to organizing event location walkthroughs, creating packing lists and checklists, and ensuring that all questions are answered prior to event for seamless planning and execution
Helps respond to emails with clients during the planning process
Fill out and complete notes in EO for client and day of staff
Work closely with Social and Corporate sales managers to ensure that all needs are met and details are addressed
Obtain full knowledge of event menu, so you can accurately educate staff to inform the guests, and know the best set- up for food items
Be fully knowledgeable of our preferred venues and their needs
Help conduct tours as venues
Help with rental orders and coordination of vendors for special events
Create menus or food cards as needed
Communicate when event service needs increase to Sales Manager so that Client can be charged appropriately
Schedule special event service staff according to the EO, and in a timely manner
Occasional assistance with secret shopper/ competitor information
Communicate consistently throughout the event planning process with Captains and Chefs to ensure that all team members are
representing Conceptually Social Catering to the highest standards
Bar Coordination for special events: including total wine orders/pick up, organization
Confirms final details for upcoming events including but not limited to address confirmations, final head counts, floor pans and parking instructions
Supervise the close out of the event to include: rental return, report any possible damages, and organize any remaining items for next day pick ups, final invoice check (specifically with events that have alcohol)
Attend weekly BEO meetings to discuss strategy for events with the entire leadership staff and ensure no conflicts exist between events.
Create an appropriate environment for guests so they have a great experience
Additional needs as set forth by the Sales Manager or upper Management
Qualifications:
● 5 years of service experience in a restaurant or high end catering position
● 2 years of captaining, restaurant management, or catering management experience
● 21 years of age (tasting and quality control of spirituous drinks may be necessary)
● Food Handlers Card
● Title 4 Liquor certification
● Understanding of end of shift financials, to include dividing cash tips and creating a deposit from the POS reports, handling money and running reports for cash bars.
● Must be able to work long hours on your feet (minimum of 8 hours) ● Must be able to lift 50 pounds
● There is no set schedule in this role. Night and weekend availability is required.
● Reliable transportation.
● Ability to effectively multitask, communicate and delegate under pressure
● Strong organizational and leadership skills
