American Subcontractors Association Of Arizona is Hiring an Event Coordinator Near Phoenix, AZ

Job Summary:

The American Subcontractors Association of Arizona (ASA of AZ) is seeking a part-time Events Coordinator. This integral member of staff will be responsible for planning the various events that make up the social backbone of our organization.

Our events calendar is well established and provides an opportunity to plan and execute several kinds of events:

  • Networking mixers
  • Golf Tournaments (2 per year)
  • Bowling & Cornhole Tournaments
  • Our Annual Awards Gala
  • An expo/trade show

Duties include:

  • Plan, coordinate, and execute events from start to finish
  • Collaborate with Executive Director & Membership Specialist to determine event goals, and ensure an excellent member experience
  • Research and select suitable venues, vendors, and suppliers for each event
  • Negotiate contracts and manage relationships with vendors
  • Create event timelines and ensure all tasks are completed on schedule
  • Coordinate event logistics, including setup, teardown, and transportation
  • Oversee event registration and ticketing processes
  • Manage event budgets and track expenses
  • Provide exceptional customer service to member and nonmember attendees
  • Provide administrative support for other ASA programming (printing nametags, sending reminder emails, etc.)

Experience:

  • Proven experience as an Event Coordinator or similar role
  • Strong organizational skills with the ability to multitask and prioritize effectively
  • Excellent communication skills, both written and verbal
  • Proficient in Microsoft Office Suite
  • Graphic design experience a plus (e.g. Canva)

We offer competitive compensation based on experience. The typical work week will average 20 hours, but some weeks as many as 30 hours will be required as we gear up for major events.

Remote work for event preparation is often possible once established in the role, but in-person attendance and management of events is required on the day of. This includes some evenings (no later than 8:30 p.m.) and, rarely, very early mornings.
