Companions & Home Helpers, LLC is Hiring an Office Manager Near West Hartford, CT

Brief Job Summary:

Responsible for day-to-day operations with care coordinators, oversee companion, homemaking, personal care, or live-in positions the company produces, train new employees, guide the company towards its goals, resolve issues as they arise, and increase efficiency in the workplace by giving performance feedback or reviews.

Typically Reports To:

Vice President or President

Qualifications:

  • Must have good customer service skills for dealing with various customers and agency contacts.
  • Must have an understanding of Human Resources: screening, recruiting, and interviewing field employees
  • Must know Accounts Payable/Accounts Receivable
  • Must be able to type 50-70 wpm.
  • Hold Bachelors in Human Resources, Social Work, Social Services, Nursing, or health related field
  • Must have understanding and abide by HIPAA (Health Insurance Portability and Accountability Act) standards

Main Functions:

  • Answering and transcribing calls into client call history in homecare software regarding client or social workers complaints/concerns, employee issues, and one time only services
  • Check e-mail daily for important information and/or reminders regarding clients, company policies, or procedures
  • Audit timekeeping records in Santrax
  • Follow up with HR Manager and Care Coordinators to ensure case is filled
  • Create client/employee records and schedules on homecare software
  • Help with Payroll/Billing
  • maintain Marketing/Recruitment lists - attend networking events

Human Resources

  • Interview qualified applicants
  • Discharge employees from cases for reasons such as wilful misconduct or being unreliable (see CHH handbook)
  • Take disciplinary action: give verbal and written warnings to field employees
  • Coordinate office meetings every week or biweekly on different topics and quality assurance procedures
  • Handle Unemployment claims
  • Implement and execute Quality Assurance policies and procedures
  • Manage all Care Coordinators – oversee scheduling and take disciplinary action if necessary – responsible for conducting 1st interview for new potential office staff
  • Train new office administrators

SCHEDULE: Monday thru Friday 11 am to 5 pm
