Full Time Position, Non-Exempt

Starting Pay: $24 - $25 per hour

Position is located in Santa Rosa

Office Hours: Monday-Friday 8:30 AM – 5 PM

The Community Child Care Council is looking for a Family Enrollment Assistant to

join the 4Cs team. The Family Enrollment Assistant is the primary point person for

families, and they are responsible for performing initial assessment and intake.

The Family Enrollment Assistant will review enrollment documents and answer

questions that will determine a parent/guardian’s eligibility for 4Cs subsidized child

care programs. This position works closely with other departments within 4Cs to

ensure program enrollment goals are met. The ideal candidate will be up-to-date

and comply with program regulations, maintain complete family and provider files

and perform all related duties associated with the daily operations of the 4Cs

subsidized child care programs.

PRIMARY DUTIES & RESPONSIBILITIES:

  • Screen and track interested families for enrollment into subsidized child

care services.

  • Provide telephone and walk in assistance to families supporting their

understanding of the required documents, provide/coordinate child care

provider referral requests, and document thorough notes important

enrollment information.

  • Compile, collect, receive, review, and calculate eligibility documentation

for any of 4Cs subsidy programs. Follow up/interview family to obtain

additional/missing information necessary to ensure eligibility and timely

need determinations.

  • Once eligibility is determined, prepare, and organize documentation, case

records and complete timely data entry for finalized enrollment.

  • Distribute family to enrolling case manager according to subsidy type and

team assignments.

  • Facilitate enrollment process for subsidy program vacancies in

collaboration with ECES team including individual appointment

scheduling, Child Care Eligibility List, Call families waiting for services and

assist in coordination of open enrollment events.

  • Provide support, technical assistance and guidance to families to ensure

comprehensive, accurate and individual assistance in the enrollment

process. Including communication to Child Care Eligibility List families

waiting for services regarding enrollment opportunities for enrollment.

Coordinate with 4Cs outreach staff to target communication with the

broader community as appropriate.

  • Provide parent and provider support services, that are available internally

at 4Cs and externally in the community. Support includes but is not

limited to, guidance on child care options/choosing child care, accessing

community resources, completing program requirements with Resource

and Referral (Trustline) and other agency departments.

  • May hold caseload of enrolled or non-enrolled families e.g. families “no

longer using care” or on Temporary Suspension of Services.

  • Comply with all applicable program regulations and funding terms and

conditions.

  • Provide excellent customer service both internally and externally,

including but not limited to, having a friendly, warm, and approachable

tone of voice and body language; consistent and timely written and verbal

communication including returning phone calls within twenty-four hours

of receipt of the call, and maintaining positive interactions with others.

  • Maintain confidentiality.
  • Assist Supervisor and other team members with department duties as

needed (e.g. appointments, screening attendance, file maintenance, back

up to the front desk, etc.

  • May serve as officer of the day.
  • May assist with basic training for new staff as requested.
  • Attend and participate in department staff meetings, monthly all office

staff meetings, and department retreats, in-service trainings, and staff

development opportunities.

  • Attend monthly center meetings and site supervisor meetings, as

applicable.

  • Serve on a minimum of one agency or department committee.
  • Participate at 4Cs community outreach events for a minimum of eight

hours per year, as requested.

  • Uniquely, this position must be available for client walk-ins and in person

assistance.

Additional Level 2 Duties and Responsibilities

  • Provide input to supervisors on the continued development and

improvement of department procedures, staff coverage and annual

program requirements.

  • Increased case load up to approximately 120 children.
  • Serve as officer of the day.
  • Assist with basic training for new staff.
  • Represent 4Cs at community functions and act as liaison with related

child care agencies, as requested.

SUPERVISORY RESPONSIBILITIES:

  • None

SKILLS & QUALIFICATIONS:

  • Effective verbal and written communication skills in English. Spanish also

required for some positions.

  • Strong computer skills including demonstrated knowledge of Microsoft Office

programs, e-mail, and internet. Basic knowledge of office equipment.

  • Detail oriented & organized.
  • Demonstrated accuracy with calculating figures and record keeping.
  • Ability to work in fast-paced environment and manage multiple tasks

successfully.

  • Excellent customer services skills.
  • Strong interpersonal skills including building and maintaining positive

relationships and trust. Ability to work well with diverse client populations

and people from various social, cultural, economic, and educational

backgrounds.

  • Experience working with under resourced families from culturally and

linguistically diverse backgrounds.

  • Valid California Driver’s License and insured vehicle.
  • Available to work some evening and weekend hours as needed.

EDUCATION & EXPERIENCE:

  • Minimum two years work experience with increased responsibility preferably

in a social service or child care agency and/or 24 ECE units.

PHYSICAL REQUIEMENTS:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.

TRAVEL:

  • Occasionally, 10% for training and staff meetings.
