POSITION DESCRIPTION:

The Purchasing Assistant is responsible for assisting in purchasing and receiving services for the finance department. This position requires compliance with CommuniHealth Services written standards, including the Compliance Plan and policies and procedures (including the Code of Conduct).

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Performing office duties that include ordering supplies, managing inventory, receiving deliveries, receiving materials in accounting system, and organizing supplies for distribution.

2. Updating Purchase Order log as necessary.

3. Stock and organize mailroom and purchasing area with necessary office supplies.

4. Performs periodic asset inventory and tracks assets with asset tags.

5. Manages newborn diaper bag program for pediatric clinics as needed.

6. Delivers bank deposits, checks PO box, coordinates check signatures, delivers checks, and other pick-ups as necessary.

7. Manages vehicle mileage logs as needed.

8. Drives mobile units as needed, maintains transportation log, and facilitates scheduled and routine maintenance. Occasional back-up driver for Transportation Department.

9. Work independently on assignments with minimal assistance.

10. Keeps supervisor informed as to the status of projects or problems that arise.

11. Maintains compliance with and knowledge of all CHS departmental, facility specific and system-wide policy and procedures.

12. Completes required CHS training per policy, maintains compliance with and knowledge of all CHS departmental, facility specific and system-wide policy and procedure, attends mandatory departmental meetings and/or training, and follows CHS Mission, Vision and Values in delivery of all services.

13. Maintains strictest confidentiality and adheres to all HIPAA guidelines/regulations as well as compliance with HRSA regulations.

14. Participates in all appropriate meetings within the organization.

15. This position may require work beyond normal working hours.

16. Performs other duties as may be assigned.

EDUCATION/LICENSURE:

High School Diploma or GED

Valid Drivers License

SKILLS/EXPERIENCE:

1. Must be able to read, write, and speak the English language in an understandable manner.

2. Must be able to use personal computer and demonstrate intermediate or greater proficiency in MS Outlook, Word, Excel, and PowerPoint in performing job duties.

3. Ability to establish rapport and maintain effective working relationship with patients, employees, and the public.

4. Ability to perform well-organized and detail-oriented work while maintaining privacy in all aspects of the job.

5. Must have patience, tact, enthusiasm, and a cheerful disposition, as well as be willing to handle persons based on whatever maturity level they are currently functioning.

6. Experience working in a fast-paced, corporate environment.

ENVIRONMENTAL/WORKING CONDITIONS:

1. Works in a well-lighted/ventilated office area of the facility.

2. Is subject to frequent interruptions.

3. Is involved with personnel, patients, visitors, government agencies/personnel, etc., under all conditions/circumstances.

4. Is subject to hostile and emotionally upset personnel, patients, visitors, etc.

5. Attends and participates in continuing educational programs designed to keep you abreast of changes in your profession.

6. Is subject to cuts, bruises, falls, burns from equipment, odors, etc., throughout the workday.

7. May be exposed to blood borne pathogens, infectious waste, diseases, conditions, etc., including the potential exposure to the AIDS and Hepatitis B viruses.

PHYSICAL DEMANDS:

1. Must be able to lift up to 20 pounds on a regular basis and up to 50 pounds occasionally.

2. Must be able to move intermittently throughout the workday.

3. Must be able to function independently, have personal integrity, and the ability to work effectively with patients, personnel, and support agencies.

4. Must be able to relate to and work with ill, disabled, elderly, emotionally upset, and at times hostile people within the facility.
