POSITION DESCRIPTION
Reports to:
Regional Office Manager
FLSA Status:
Nonexempt
Position Summary:
The Office Manager is responsible for overseeing the operation of the dental office to give patients a good experience and setting standards for office employees. They set the tone of the office and enforce the guidelines detailed in Columbia Dental's Employee Handbook. They embody the values of Columbia Dental and actively participates in the company's continual growth. They actively take steps to create a welcoming environment for patients and a healthy work environment for employees. Their duties include but are not limited to helping patients at the front desk and leading a team of office staff to promote a well-organized and efficient practice.
General Duties & Responsibilities:
  • Opening and/or closing office for business
  • Greet and interact with patients in a friendly and empathetic manner
  • Deliver quality and compassionate care to every patient
  • Check patients' insurance information
  • Implementing structure and organization to the operations of the office
  • Provide patient education in regard to the financial options that works best for them
  • Provide the highest level of care to our patients
  • Management of all financial aspects of the office including but not limited to collecting of monies, daily submission of monies to bank/Corporate Office, and reconciliation of patient payments
  • Take inventory of supplies and submit order requests to ensure office has equipment and tools needed to maintain operations
  • Supervision and appointment of staff - front desk, dental assistants
  • Manage scheduling of office staff
  • Ensure overall cleanliness of office is maintained
  • Create patients' treatment plan
  • Implementing Columbia Dental procedures and policies
  • Monitoring/Assessing performance of yourself and office staff to make improvements or take corrective action as needed
  • Familiar with office equipment and able to troubleshoot issues that may arise with the equipment
  • Responsible for adhering to all government regulations including OSHA and company standards
  • Travel to other Columbia Dental locations to provide coverage when requested by Regional Manager or President & Owner
  • Other relevant duties and responsibilities as assigned
Qualifications & Skills:
  • Excellent interpersonal communication skills
  • Excellent organizational skills and detail-oriented to effectively handle multiple tasks
  • Demonstrates problem-solving, conflict resolution, critical thinking, and positive communication through teamwork
  • Able to work independently and provide leadership
  • Self-motivated and takes initiative
  • Skilled in using Dentrix
  • CPR is a plus
Education & Experience:
  • At minimum an Associates Degree strongly preferred
  • At least one year of experience in a medical or dental front office setting
  • Supervisory experience is required
Physical Demands:
  • Ability to be physically mobile (stand, walk, reach, climb, bend) and also the ability to stand for prolonged periods throughout the day/work hours when needed
  • Manual dexterity sufficient to operate medical equipment, keyboard, copier, telephone, and the ability to write/type
  • Must be able to lift and/or move up to 20 pounds occasionally
