Description of Work Unit
Founded in 1870, Colorado State University is among the nation’s leading research universities and enrolls approximately 32,000 undergraduate, graduate, and professional students. Located an hour north of the Denver metro area, Fort Collins is a vibrant community of approximately 157,000 residents that offers the convenience of a small town with all the amenities of a large city. Fort Collins is situated on the Front Range of the Rocky Mountains with views of 14,000 foot peaks, and offers access to numerous cultural, recreational, and outdoor opportunities.
The Association for Undergraduate Education at Research Universities (UERU) is an independent national higher education association hosted and supported by CSU. Its purpose is to strengthen undergraduate education at U.S. research universities.
Position Summary
The UERU Assistant Director will be primarily responsible for managing the UERU Home Office team. They will 1) Supervise UERU staff, including 2 full-time staff, 3-5 part-time student hourly staff, and event- and initiative-specific temporary staff, 2) Oversee travel arrangements, scheduling, and other pertinent office operations, 2) Serve as staff liaison between UERU and CSU (e.g., with respect to HR, OSP, Office the Provost, and other regular points of connection); 3) Provide senior managerial staff support for all UERU initiatives and events, including grant-funded projects and the work of the Executive Director and Director of UERU Development and Strategic Partnerships; 4) staff the UERU Board and serve ex officio as a non-voting member of its Executive Committee; 5) communicate effectively up, down, and across the organization; 6) provide staff leadership for the planning of 4-6 major in-person UERU events each year (all of which require onsite participation, often over multiple days); 7) Understand the UERU budget and collaborate with the Office of the President and Provost Budget Director and UERU Board in managing UERU’s finances; and 8) other duties as assigned.
Overall result: Ensure efficient and cost-effective home office operations, professional execution of events and projects, and a positive UERU member experience. Foster an inclusive and productive working environment for the UERU team.
Required Job Qualifications
  • Bachelor’s degree required.
  • 5 years of professional administrative managerial experience, including supervision of direct reports.
  • Ability to work from an office at Colorado State University (Fort Collins).
  • Excellent written and verbal communication skills
  • Prior experience managing grant-funded projects.
Preferred Job Qualifications
  • 5 or more years of professional administrative managerial experience in U.S. higher education, including specifically working for a research university and/or experience working for an intermediary U.S. higher ed organization.
  • Master’s Degree.
  • Strong attention to detail and organizational skills.
  • Prior experience executing in-person and virtual events.
  • Familiarity with organizational budgets and university information and budget systems.
  • Familiarity with basic marketing and web design tools.

What is done? Manage CSU support of grant-funded and other specific UERU initiatives, including liaising with key CSU units (e.g., OSP, Provost’s Office). Create communications, often digital, designed to impart project progress and results to diverse constituencies. Maintain records and data, as well as the Executive Director’s schedule. Help monitor compliance with funder and CSU reporting requirements. Facilitate communications among project staff and core UERU Home Office staff, including the Executive Director and Director of UERU Development and Strategic Partnerships. Monitor and control UERU’s budget, ensure timely collection of member dues (in collaboration with the ED), and collaborate with the Office of the President and Provost Budget Director and UERU Board in managing UERU finances. Support the success of the ED, Director, and other project PIs by ensuring grant reports and deliverables are delivered on time and at quality.
How is it done? Participation in strategic partner relationship-building and UERU strategic planning for initiatives and specialized undertakings. Creating, following, reporting on, and assessing communications plans. Creating and maintaining secure and user-friendly databases. Undertaking training and maintaining up-to-date knowledge of germane CSU policies and procedures. Contributing, as appropriate, to project reports and budget updates.

What is done? Daily management of UERU Home Office staff in accordance with CSU policies and practices. Direct reports will include two full-time coordinators, hourly student staff, and ad hoc employees hired in support of time-bound special initiatives and events. Setting appropriate daily, weekly, monthly, and quarterly goals. Monitoring progress toward goals and supporting staff in meeting them. Conducting annual performance reviews in accordance with CSU policies and practices. Informing the Executive Director of staff progress as well as raising issues that require additional attention for appropriate resolution. Staffing personnel searches as needed.
How is it done? Interacting with remote as well as in-person staff via Teams, Zoom, and face-to-face campus meetings. Maintaining accurate and up-to-date records in UERU databases. Staffing UERU’s campus office on a regular basis and maintaining its utility for the Executive Director. Communicating with diverse constituents via email, Zoom, phone, and within UERU’s password-protected online community. Communicating with CSU campus partners regarding UERU business and operational affairs.
Why is it done? To pursue efficiency and effectiveness, including careful stewardship of scarce operational resources. Identifying and capitalizing on staff strengths to create a high-performance team that will maximize value for the association. To establish and maintain a standard of professional conduct expected of a high-visibility U.S. higher education association, which redounds to UERU’s (and CSU’s) reputation vis-à-vis funders, strategic partners, UERU members, prospective members, and other colleagues.

How is it done? Supervising the work of the coordinators, student staff, and ad hoc employees. Maintaining lines of communication among the UERU Board, Executive Director, Director of UERU Development and Strategic Initiatives, and other key constituents, including but not limited to UERU members. Measure member satisfaction and identify areas for improvement via surveys and post-event evaluations.
