Job Title: Executive Assistant
Reports To: The Executive Director (Asbury Campus)
Nature and Scope of Job: The Executive Assistant performs confidential administrative responsibilities necessary for an efficient and effective office that assists the Asbury Park Campus Executive Director in performing their responsibilities.
QUALIFICATIONS
Holds a High School Diploma (College degree preferred)
Have a minimum of five years of successful experience in a related secretarial or office position.
Demonstrate excellent secretarial skills, general bookkeeping skills, organizational and filing skills, and the ability to use electronic equipment for word processing, data management, information retrieval, visual presentations, and telecommunications.
Demonstrate proficiency in Microsoft Office Suite.
Demonstrate the ability to communicate effectively in English both orally and in writing, including Standard English usage, grammar, and vocabulary.
Demonstrate appropriate telephone etiquette, with proper voice inflection.
Demonstrate the ability to maintain confidence. Demonstrate the ability to work independently. Have excellent integrity and demonstrate good moral character and initiative.
Exhibit a personality demonstrating enthusiasm and interpersonal skills to relate well with staff and administration.
JOB FUNCTION AND RESPONSIBILITIES
Hold as confidential, all aspects of the job designated by the Executive Director.
Perform confidential administrative tasks of a varied nature, some of which may be unique to the assigned office, requiring a thorough knowledge of the rules and regulations of the schools and school system and the frequent exercise of independent judgment.
Be responsible for compiling documents as requested/needed by the Executive Director.
Ensure that all communication from the office meets proper written and oral English standards.
Greet visitors and answer telephone calls pleasantly and efficiently, communicating effectively in routine, sensitive, and confidential matters.
Maintain an efficient and well-organized electronic and paper data collection and filing systems, including confidential files.
Arrange appointments and maintain a schedule for the Executive Director.
Assist the Executive Director in the preparation of reports and documents by gathering and organizing data, performing research, creating graphics and displays, using word processing and data management, creating an attractive presentation, copying, collating, and transmitting or distributing final products.
Arrange meeting details, prepare agenda and materials and handle follow-up activities.
Create and maintain a clean, attractive, orderly safe and efficient office environment.
Assist the Executive Director in handling interruptions and emergencies.
Other duties as assigned.
Salary Range $50,000-$60,000K (annually)
