Efficiently manage executive calendars, appointments, workload and meetings.
Handle travel arrangements, accommodations, and itineraries for executives.
Follow up on outstanding issues both internally and externally.
Liaise with tenants and vendors as necessary
Maintain issue trackers
Organize, maintain and oversee meticulous filing systems both digitally and hard-filing
Assist with office operations, ensuring a smoothly functioning and organized environment.
Assist in basic HR functions.
Assist with corporate and personal bookkeeping
Collaborate with department heads to streamline communication and enhance cross-functional teamwork.
Contribute to creating a professional and welcoming atmosphere for both internal teams and external partners.
Qualifications:
Minimum of 3 years' experience in an executive assistant or office management role, preferably within a team of 20 or more individuals.
Proficiency in using QuickBooks Online
Basic HR experience, including onboarding and record-keeping.
Bachelor's degree preferred, but not required.
Exceptional organizational skills and attention to detail.
Strong verbal and written communication abilities.
Ability to thrive in a fast-paced and ever-changing work environment.
Proficient in Microsoft Office Suite, SharePoint, and Teams as well as other relevant software.
