POSITION SUMMARY:
Provide support to senior leadership and staff. Supports the presentation, documentation and formation of project and acquisition plans, developing needed information for decisions, and other critical documents for assigned projects. Develop and maintain annual project plans and necessary documentation to effectively communicate and validate significant resource requirements; to include scope, schedule, travel arrangements and per diem. Provides supporting data and justifications for assigned program segments. Establishes and tracks performance against milestones. Assists senior leadership and staff in attaining a general understanding of issues, requirements, and standards of practices related to project management-related activities. Manage the maintenance and control of the NA-PAS electronic library.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Create and maintain project management schedules, plans and other relevant technical documentation used for tracking project information and status.
2. Provide support in developing, implementing and executing the business and administrative processes and procedures for managing time, resources, daily activities and requirements of a busy project management office responsible for several construction projects. This includes meeting planning/organization, word processing, proofreading and data control and management.
3. Develop acquisition and project management briefings and reports for senior leadership and serve as a Project Review Integrator when assigned and conduct Annual Peer Reviews (APR), Independent Peer Reviews (IPR) and Technical Peer Reviews (TIPR).
4. Manage and conduct professional verbal and written business communication between internal staff and/or external clients.
5. Organize and plan travel and logistics for meetings and events.
6. Monitor project data to ensure projects stay on schedule. When deviations occur assist Project Manager with schedule changes/corrections to keep timelines current. Perform forecasting and implementation for project-related information.
7. Prepare PowerPoint presentations to brief the status of projects when required. Generate status reports for various departments, agencies, and consultants utilizing, Excel or other related reporting tools.
8. Maintain professional and technical knowledge by studying/reviewing all relevant laws, regulations, orders, and policies; attending educational workshops; reviewing professional and technical publications; establishing and maintaining professional liaisons/networks with subject-matter experts; and participating in professional associations/affiliations.
9. Ensure that integrated safety and quality management principles are applied to all duties. Perform all activities and tasks in a safe and healthful manner.
10. Serve customers (external and internal) by focusing on quality as it relates to the customer; anticipating/understanding customer needs and expectations; responding expeditiously to customer questions, requests, and concerns; and satisfying customer needs and expectations.
11. Contribute to team effort by focusing on ITP mission, goals, and objectives; accomplishing tasks and assignments in a professional and timely manner; keeping appropriate members informed regarding the status of tasks and assignments; establishing and maintaining professional working relationships; working amicably, cooperatively, and productively with team members; assisting others as needed and accomplishing other duties/tasks as assigned/directed or as necessity dictates.
POSITION QUALIFICATIONS:
Education and Experience
1. Bachelor’s degree in a related discipline; professional experience can be substituted for some educational requirements.
2. A minimum of 5 years of experience with project/program management, scheduling and cost control.
3. Possess an active DOE Q or DOD TS clearance.
Knowledge, Skills, and Abilities
1. A strong knowledge of personal computers and related Microsoft programs. Knowledge and/or experience with Microsoft Word, Excel and PowerPoint. Experience with eDOCS, MAX.gov, WebEx, ESS/ATAAPS and requesting items in DAYS.
2. Ability to utilize run reports from various data sources and models.
Working Conditions
Work is performed in an office setting.
Occasional travel is required.
One day a week on-site with the customer is currently required. The remaining days of the week may be worked remote/at home. Over time, more than one day a week on site with the customer may become required.
Physical Requirements
Sedentary work, which requires sitting most of the time, utilizing computer keyboard and monitors. May involve standing, walking and kneeling for brief periods. May involve minimal or infrequent lifting or carrying.
