About the Opportunity
The Special Projects Manager provides substantive, strategic, and administrative support to the CEO of Too Small to Fail, the early childhood initiative of the Clinton Foundation, Managing Director and TSTF team. This includes managing the TSTF CEO's and Managing Director's calendars and team meetings, providing communications assistance, managing expenses, creating partnership/vendor agreements and MOUs, supporting the creation of grant applications, researching potential partners, corresponding with key stakeholders and advisors, and providing logistical support. The Special Projects Manager triages internal and external requests to prioritize them with respect to the TSTF CEO's and Managing Director's priorities, responsibilities, and Foundation-wide goals and deadlines.
This role assists the TSTF CEO and team to maximize their time on high-level items by using discretion in scheduling and meeting arrangements and learning the Foundation's processes. The Special Projects Manager also provides support to improve cross-department cohesion and effectiveness and proactively manages routine and special projects, as needed.

Core Responsibilities
Executive Administrative Support to the CEO and TSTF Team
  • Proactively and effectively manage the TSTF CEO and Managing Director's schedules and activities to reflect most current programmatic priorities; maintain regularly scheduled meetings and schedule ad hoc meetings.
  • Oversee the logistics, prepare materials, and organize files, for the TSTF CEO and Managing Director's meetings.
  • Develop strategic meeting agendas, participate in meetings to take minutes and track follow up.
  • Coordinate travel arrangements, prepare travel & expense (T&E) reports, and reconcile corporate card expenses in accordance with the Foundation's T&E policies.
  • Use cross-Foundation knowledge to assist on CEO's development strategy with donors; regularly track and update donor information.
Special Projects Management
  • Draft grant applications and reports and submit materials into TSTF funders' online grant portals after the TSTF team's review.
  • Write conference proposals, draft presentations, and create polished, customized materials for TSTF speaking engagements and events, as needed.
  • Draft memos and briefs on TSTF-related topics for potential partners and funders.
  • Prepare TSTF Advisory Council materials from inception to final copy for annual Council meetings, execute day-of-meeting logistics, and track follow up of resolutions, next steps, and further communication with the Council.
  • As assigned, conduct research on and manage special projects on behalf of the TSTF CEO, Managing Director and team.
  • Provide administrative support for TSTF's research evaluations which examine the impact of the initiative's strategies.
  • Compose, edit, and proof correspondence, briefs, reports, and other material for programming, development, and governance purposes; proactively collaborate with programs and departments to revise and improve standard operating procedures (SOPs), as needed.
  • Assist the initiative with ad hoc events and serve as a utility player where TSTF needs additional strategic, substantive, and administrative support.
Administration
  • Create contracts, agreements, and MOUs with partner organizations and the Foundation's legal department.
  • Coordinate with TSTF vendors to track orders for Talking is Teaching-related products and process payments invoices for vendors and consultants.
  • Facilitate and respond to interdepartmental requests related to TSTF metrics, impact, and contracts, as needed.
  • Field day-to-day partner requests and questions, and brainstorm opportunities to deepen TSTF's collaborations.
  • Respond to general partner emails and external requests that are sent to info@toosmall.org, info@talkingisteaching.org, TSTF's social media inboxes, and the TSTF CEO and Managing Director.
There will be other duties assigned.
Minimum Qualifications
What we're looking for:
  • Minimum Required: Bachelor's degree or equivalent work experience.
  • At least 6 years of professional experience in the field in positions of increasing responsibility. At least 1 of those years must have included either managing people or managing projects to completion.
  • Excellent writing skills
  • High level of diplomacy required with the ability to manage relationships in a positive manner.
  • Ability to interact with people at all levels inside and outside of the organization with diplomacy, as well as people from diverse backgrounds.
  • Superior customer service skills and extreme discretion with confidential and sensitive information.
  • Ability to effectively take notes, and to synthesize complex and/or text-heavy information.
  • Ability to work in a varying schedule including nights, early mornings, weekends and holidays.
Compensation & Benefits
Our best estimate of the compensation range for this opportunity is $69 - 74K annually, depending on the experience you bring. This role is exempt for overtime pay. This range is based on NYC market rates and may be adjusted if you will be working remotely.
