Description

Functions:

Provide daily supervision of all aspects of internal center activity of our Mechanicsville, Norfolk and Richmond locations, partnering with Center Medical Director as a part of the dyad leadership model at assigned home center. Manage specific administrative functions related to the operations of the centers as assigned. Reporting directly to the Regional VP of Operations.

Qualifications:

Bachelor's degree preferred, 5 management experience in a fast paced medical office required and may be accepted in lieu of degree.

Supervises:

Supervision of Center Managers, Center Supervisors, Medical Assistant/Medical Receptionists, collaborative supervision with Director of Care coordination/ LADC Supervisor of Care Coordinators and LADC I & II.

Physical and Environmental Demands:  

  • Dependent body mobility to access a standard office environment with shelves and drawers of varying heights.
  • Vision sufficient to read a computer screen, and printed text and hand written documents.
  • Manual dexterity to operate a computer keyboard on a daily basis.
  • Stamina to sit and/or stand up for hours at a time.
  • Ability to transport, lift or carry essential work-related materials or items up to 40 pounds.
  • Ability to speak and hear sufficiently to communicate clearly in person and over the telephone, and in various forms of written communication.
  • Mental stamina for problem solving.
  • Ability to prioritize multiple tasks.
  • Ability to document, recall, and explain detailed trainings, conversation, or events, and apply oral/written instructions, as needed.
  • Will be required to work in an office environment and be able to travel to other site locations and applicable locations in the community.

Performance Responsibilities 

  • For assigned home center, directly responsible for what is below; for all other centers of supervision, responsible to ensure duties below are completed by Center Manager or Center Supervisors:
  • Establish procedures to manage the daily clinic operations to ensure the corporate goals of service, associate engagement, patient experience and identified clinic outcomes are achieved in your assigned centers.
  • Maintain a culture that focuses on patient’s needs and customer service.
  • Monitor and manage daily patient flow.
  • Manage patient experience excellence by ensuring that all patient encounters consist of quality and safe care, exemplary customer service, and that patient care experience encourages engagement to reach the desired patient outcome.
  • Provide formal supervision of support staff, facilitate staff meetings and regular review of clinic metrics with all clinic staff. Complete team member evaluations and corrective action, in conjunction with People Services, when appropriate.
  • Work with center staff to develop/implement performance goals and objectives. Recommend merit increases and promotions for approval by Senior Center Manager.
  • Oversee clinic support staff patterns and schedules.
  • Act as operational supervisor for all center staff regarding data management/time management in the HRIS system.
  • Coordinate the functions and activities of the center including IT systems, materials management and inventory, data processing and maintenance issues.
  • Foster initiative, motivation and positive morale within the center staff through utilization of the rewards and recognition program and participation in Culture Committee sponsored events.
  • Development of center goals, objectives, and processes through collaboration with Senior Center Manager and Center Medical Director.
  • Use Patient Satisfaction tools to collect patient feedback and guide clinic staff to provide patient centered care.
  • Analyze daily conditions, identify and interpret trends or deviations from standards and respond by recommending policy or procedure changes in the center.
  • Direct, supervise and coordinate the functions and activities of centers including systems, budget, materials management, human resources, data processing and maintenance.
  • Participate in the development of corporate goals, objectives and policies.
  • Promote the provision of cost-effective, high-quality health care services for patients.
  • Ensure high degree of patient and client satisfaction with the centers.
  • Maintain compliance with government and third party payer requirements.
  • Maintain standards of quality care.
  • Develop operational plans to assure medical and logistical viability and to fulfill the centers’ goals and objectives in a coordinated, effective and efficient manner.
  • Develop budgets, including forecasts of revenue, workload, and requirements for personnel, space, equipment and support services to assure financial viability and to fulfill the centers’ goals and objectives in a coordinated, effective and efficient manner. Report and interpret monthly and annual data to assure budget compliance.
  • Oversee and provide real-time feedback around daily operations, providing guidance toward policies and procedures for team members,
  • Maintain compliance with government and third party payer requirements.
  • Manage staffing patterns, utilization of facilities, equipment and supplies.
  • Implement marketing plans which include assisting with the development of the corporate strategy, promotion of the centers and their professionals, and product/service assessment. Responsible for public relations and referral relationships.
  • Analyze market conditions, identify and interpret trends or deviations from standards and respond by initiating policy or procedure changes.
  • Resolve conflicts which occur in your assigned centers, in conjunction with your Center Managers, People Services teams.
  • Complete monthly data reports as assigned by Operational leadership
  • Resolve problems related to staffing, utilization of facilities, equipment and supplies.
  • Analyze systems and procedures and initiate changes to improve work flow and efficiency. Maintain and compile statistics when necessary or upon the request of the senior management.
  • Recommend center facility improvements including construction, renovation and purchase of equipment.
  • Maintain the buildings, grounds, facilities and equipment in a manner consistent with the highest standards of safety, sanitation, efficiency and appearance.
  • Participate in hiring and training/orienting center personnel.
  • Work with center staff to develop/implement performance goals and objectives. Determine merit increases, promotions. and disciplinary actions
  • Interact with other Center Managers and senior management to ensure coordinated efforts in the development of professional relations and contractual arrangements with third party payers, clients and government agencies.
  • Consult with Center Medical Director to ensure compliance with standards and regulations.
  • Represent centers at public and professional meetings and conferences as required. Participate in center communication and public relations programs.
  • Maintain professional affiliations and enhance professional development to keep pace with the trends in health care administration.
  • Consult with Compliance, People Services and Clinical Quality team to ensure compliance with standards and regulations.
  • Assist in the and scheduling of center externships.
  • Perform Community Outreach/Referral Development.
  • Any and all other tasks or projects, as assigned.
