JOB SUMMARY

JOB SUMMARY

Provides administrative support for area of assignment; prepares correspondence and other documentation; maintains departmental files and databases; schedules and coordinates meetings and other functions; conducts routine purchasing and accounting tasks; assists with promotional projects of the San Marcos Main Street Program; and performs other related duties.

ESSENTIAL FUNCTIONS AND DECISION MAKING

ESSENTIAL FUNCTIONS

* Serves as administrative assistant and performs a variety of high-level administrative duties in support of departmental operations:

* Answers and directs incoming calls; documents and distributes phone messages.

* Responds to various types of inquiries regarding departmental operations, services, policies, procedures, and programs.

* Maintains assigned calendars and schedules meetings and appointments.

* Prepares/creates forms, mailers, information packets, and other types of documentation.

* Provides administrative support to assigned personnel.

* Gathers and compiles statistical data; prepares various types of reports.

* Proofreads, copies, scans, and files documents.

* Maintains and updates departmental procedure manuals, files, and databases.

* Attends committee meetings; prepares and maintains meeting notes.

* Receives, sorts, and distributes departmental mail.

* Conducts a variety of general accounting duties:

* Tracks expenditures for various accounts.

* Verifies the accuracy of expense receipts.

* Processes vendor invoices for payment.

* Assists with budget preparation as assigned.

* Serves as Advisory Board Liaison:

* Prepares meeting agendas and related materials; transcribes and disseminates minutes

* Prepares location, meals, supplies and meeting room setup.

* Drafts correspondence; prepares reports, presentations, and/or other documentation

* Ensure the board is following TOMA rules

* Special Projects:

* Solicit and maintain Business Retention Management data/records and populate reports

* Solicit and maintain Downtown Property Management data/records and populate reports

* Gather, submit and monitor information of the Downtown Work Order software

* Plan, organize, and coordinate special events or other functions/programs.

* Miscellaneous:

* Coordinates the purchase of supplies, materials, and/or services; communicates with vendors; updates and maintains vendor records; receives materials and supplies; monitors and maintains supply inventories.

* Monitors and maintains office equipment; stocks paper and toner

* Ensure a cohesive working relationship with all department staff, city personnel, public officials and downtown stakeholders (businesses, property owners, business associations, etc.

* Maintain a high degree of knowledge of existing Downtown San Marcos products (retail, hotels, meeting facilities, restaurants, attractions and event facilities)

* Performs other routine and/or specialized duties relative to area of assignment as required.

DECISION MAKING

* This position works under general supervision.

MINIMUM QUALIFICATIONS (Salary is dependent upon qualifications)

MINIMUM REQUIREMENTS

* High School Diploma or equivalent is required.

* Four (4) years customer service experience required.

* Valid Texas Driver's License with an acceptable driving record.

JOB DIMENSIONS

* Must be able to read/comprehend departmental policies and procedures; must have the ability to read/prepare correspondence, reports, meeting minutes, forms, and other types of documentation relative to area of assignment.

* Effective verbal and written communication skills are required; must be able to maintain positive working relationships with visitors and volunteers, City officials and departments, outside agencies, and the general public.

* Experience with Microsoft Office Suite (Word, Excel, PowerPoint) and Tyler ERP or other application systems.

PHYSICAL DEMANDS AND WORKING CONDITIONS

Physical requirements include lifting up to 30 pounds. Subject to vision and hearing constantly; standing, sitting, walking, lifting, carrying, pushing/pulling, reaching, handling, fine dexterity, bending, balancing and talking occasionally; kneeling, crouching, crawling, twisting and climbing rarely. Working conditions involves sitting and standing for extended periods of time. Occasional exposure to toner/ink cartridges and/or other hazardous chemicals.

Working conditions involve exposure to variable and/or extreme weather conditions, hazardous chemicals, infectious diseases, and potentially irate members of the public.
