City of Saginaw is Hiring an Office Assistant Near Saginaw, MI

Job Summary:
We are seeking a highly organized and detail-oriented Office Assistant to join our team. The Office Assistant will be responsible for providing clerical support to the Assessor's Division by maintaining property records and providing a source of general information concerning assessments, homesteads, transfer affidavits, and personal property statements. This position will also perform customer service duties within the City Treasury Division as needed. The ideal candidate will have excellent communication skills, be able to prioritize tasks, and work well in a fast-paced environment.

Duties:

  • Maintains master property records by interpreting deeds, land contracts, and other legal documents as well as changes by property owners at office counter and/or obtained through telephone notification into property tax assessment software.
  • Provides clerical assistance to Assessing such as filing, typing, coping, computer entry, faxes, ordering supplies; assists with sorting, opening and organizing daily mail for both Assessing and City Treasury divisions.
  • Assists with dissemination of assessment, homestead, transfer affidavit, and personal property statement information to the general public and to other City departments and/or divisions by personal or telephone contact.
  • Makes entries into Assessor’s database and enters information from Fire Department field inspections for permit review and other related sources.
  • Works as an additional Customer Service Representative receiving money owed to the City by the general public, Inputting Treasury revenue data into computerized system, and balances cash with receipts, prepares deposit slips and daily cash report.
  • Provides primary support for special projects.
  • Assists and acts as support secretary to Board of Review meetings: copying appeals; keeping appointment calendar.
  • Assists appraisers by entering permits for property inspection, completing property split and combination forms

Requirements:

  • High school diploma or GED equivalent with some college course work in office secretarial studies, basic computer, letter writing, and general office procedures.
  • Additional course work in basic math, filing, typing, word processing, spreadsheets and project organizational skills is highly desired.
  • Six to twelve months’ experience handling money and performing cash transactions.
  • Good organization skills; communication and human relation skills; ability to work with other staff members harmoniously on varying projects and shared responsibilities.
  • Knowledge of property legal descriptions, plat maps, and real estate terms is desirable
  • Basic knowledge of state laws pertaining to procedures in homesteads, transfer affidavits, and personal property
  • Ability to handle confidential material maturely and responsibly.
