City of Hampton is Hiring an Executive Assistant - Sheriff Near Hampton, VA

Performs a broad spectrum of complex, senior level clerical, technical and administrative duties in support of strategic senior executives and appointed officials for the Hampton Sheriff's Office. Supports a variety of special projects as required.
•Receives and screens visitors and callers from the general public, city departments and offices, and representatives of agencies outside of the city government. Responds appropriately to questions, comments, requests and citizen complaints. Manages the flow of incoming and outgoing communication, and exercises initiative and creativity in resolving problems.
•Produces a wide variety of correspondence, documents and reports, in accordance with supervisor's professional style and preferences. May compose submissions for inclusion in professional publications, and may coordinate development of departmental memorandums.
•Assists with preparation of material for presentation. Conducts research as necessary.
•Maintains supervisor's calendar and any other related material. Participates as needed in maintaining time, attendance, leave and other personnel records. 
•May act as a resource to other staff and to the general public.
•Performs other duties as assigned.
Completion of a standard High School course of study or GED; an Associate's degree or significant college level coursework in Office Administration, Legal Secretarial Science, Business Law, Business or Public Administration or a closely related field of study is preferred. Considerable experience in providing support, planning and scheduling at an executive level, preferably within a municipal government or other service related organization, is required. Requires thorough knowledge of current business practices and protocols involved in providing services and quality customer service to the public; must have the ability to pass a standard typing test with a minimum of 45 wpm and a maximum of six (6) errors and the ability to take and transcribe dictation. Computer skills that include proficiency in advanced word processing, spreadsheet and presentation software are required. Must possess the ability to make minor decisions in accordance with established policies and procedures; must be able to coordinate and organize resources in efficient and effective ways to meet goals; must be able to multi-task. Requires the ability to prepare effective correspondence that expresses ideas and information clearly and concisely; must be able to clearly articulate ideas, opinions, feelings and information orally. Must be detail-oriented, possess good organizational and follow-up skills, and have the ability to prioritize and meet deadlines. Must be able to create and maintain harmonious relationships with diverse populations. May be required to possess a valid motor vehicle operator's license issued by the State of Virginia and must have a satisfactory driver's record based on the City of Hampton criteria. Experience may substitute for education on the basis of one year of appropriate experience for each year of education.
Work is performed under limited supervision from the designated senior administrator. Work environment demands extensive contact with the general public, city employees, elected officials, business executives, and representatives of municipal, state, and federal government, as well as other public and private organizations. This position demands the incumbent present him/herself in a polished and professional manner and possess a high degree of courtesy and responsiveness in assisting citizens and employees with their concerns. Exceptional customer service and interpersonal skills are essential. The ability to handle conflict and sensitive and confidential issues with maturity, professionalism and diplomacy is paramount. Must have flexibility to work non-standard work hours when needed. This is a non-exempt position.
