JOB SUMMARY
Provides customer service, accounting, and administrative duties under supervision of the Assistant City Clerk/Treasurer and City Clerk/Treasurer. This is a nonexempt (hourly) position in the Administration Department.
HOURS AND PAY RANGE
The City office hours are 8:00am to 4:30pm. This is a full-time positions of 37.5 hours per week. The pay range is $16.00-$22.00 per hour.
JOB DUTIES
· Open and close the office each workday
· Welcome visitors and provide excellent customer service
· Answer telephone calls, handle inquiries, and forwards calls
· Order and organize office supplies
· Create PDF fillable forms, Word documents and Excel spreadsheets
· Perform paper and electronic filing and record destruction in compliance with state laws
· Sort and distribute incoming mail
· Create labels and handle outgoing mail
· Post agendas and assist with room setup for meetings
· Input recreation reservations and vacation house checks
· Process permits, accident reports and requests
· Receive and process payments
· Input accounts payable invoices and print checks
· Schedule appointments, reservations and training as requested
· Maintain office equipment
· Communicate with office equipment, cleaning and maintenance contractors
· Assist other departments and other administrative duties as assigned
DESIRABLE KNOWLEDGE, SKILLS AND ABILITIES
· Proficient in Microsoft Office Excel, Word and Outlook and Adobe Acrobat or Kofax
· Friendly demeaner and customer service skills
· Working knowledge of copiers, phones and mailing machines
· Strong organizational skills and ability to multi-task
· Excellent time management and ability to prioritize work
· Attention to detail and problem solving
· Strong written and verbal communication skills
· Ability to work effectively with coworkers with limited supervision
· Ability to learn other software programs
DESIREABLE TRAINING AND EXPERIENCE
· High School degree
· Two years of college courses preferred
· Administrative experience preferred
· Must be bondable
PHYSICAL REQUIREMENTS
· Must be able to sit for extended periods of time
· Ability to stand and bend as necessary for filing
· Ability to carry records and office supplies of twenty-five pounds
