City of Florissant is Hiring an Administrative Assistant - Police Department Near Florissant, MO

Description

Rate:  $19.02 hourly

General Purpose of Position

Performs a variety of routine and complex clerical, and administrative work, exhibiting leadership for clerical staff, and assisting in the administration of the standard operating policies and procedures of the assigned department

Major Duties and Responsibilities

  • Provides oversight and management of Clerical Staff
  • Prepares and monitors work orders
  • Acts as custodian of departmental documents and records. 
  • Establishes and maintains filing systems, control records and indexes using moderate independent judgment
  • Oversees and Maintains inventories and orders office supplies and materials; maintains departmental personnel records
  • Oversees processes regarding departmental or divisional activities
  • Oversees and assists with scheduling
  • Serves as backup to other clerical positions including receipting of payments and posting monies to appropriate accounts
  • Performs administrative duties for Police Department 
  • Receives the public and answers questions; responds to inquiries from employees, citizens and others and refers, when necessary, to appropriate persons
  • Assists in the procurement of department materials and supplies
  • Approves invoices for payment under the supervision of immediate supervisor
  • Completes special projects either alone or as part of a work team
  • Prepares presentations for self and/or other department personnel
  • Composes, types, and edits a variety of correspondence, legal contracts, bid specifications, reports, memoranda, and other material requiring judgment as to content, accuracy, and completeness
  • Prepares agendas and supporting materials; may take and transcribe minutes; prepares and distributes minutes and reports
  • Plans conferences and training sessions, and coordinates travel plans for staff
  • Prepares records such as notices, minutes and resolutions
  • Prepares payroll and assures for accuracy
  • Processes all purchase orders and work bids for department and/or division
  • Prepares statistical reports as needed 
  • Maintains all budget accounts
  • Tracks budget expenditures
  • Performs clerical duties for Police Department 
  • Performs routine clerical and administrative work in answering phones, receiving the public, providing customer assistance, cashiering, data processing and bookkeeping
  • Answers in-coming calls and routes callers or provides information as required
  • Operates office machines as required
  • Receives, stamps and distributes incoming mail, processes outgoing mail
  • Inputs data to standard office and department forms; makes simple postings to accounts; compiles data for various reports
  • Schedules appointments and performs other administrative and clerical duties
  • Duplicates and distributes material
  • Assists public with use of department facilities
  • Performs other duties as directed

Requirements

Education and Experience

The person in this position must have a high school diploma or equivalent, with specialized course work in general office practices, and at least two year of progressively responsible experience. Any equivalent combination of education and experience would be considered. 

Licenses and Certifications

A valid driver’s license is required.
