Basic Function

As an Executive Administrative Assistant, you will provide support and assistance to the branch manager and team as needed. Additionally, you will assist in various activities, contributing to the productivity of the branch.

Responsibilities

  • Provide professional administrative support to the branch manager and team, including but not limited to: scheduling / maintaining calendar, managing multiple email inboxes, travel arrangements, booking meetings, collecting/saving/filing documents, updating spreadsheet and database for tracking purposes and other administrative duties.
  • Strategize with the Manager to develop marketing and development initiatives that will assist in overall branch productivity.
  • Assist in cultivating relationships with customers, business partners, and third-party vendors. Director of first impressions on behalf of the branch manager.
  • Complete special projects as necessary.
  • Maintain and submit monthly budget reports as assigned.
  • Review and send invoices to accounting department.
  • Maintain and order office supplies, including postage, copier, and printer.
  • Prioritize conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures, specifically, the skills required to assist the branch manager and team to stay focused on critical tasks while designating the non-essential tasks.
  • Other duties, as assigned.

Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience 
High school diploma or general education degree (GED) with 1 to 2 years’ experience as an Administrative Assistant. Direct experience in the mortgage industry preferred, but not required. 

Language Ability 
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. 

Math Ability 
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages. Ability to apply concepts of basic algebra.

Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. 

Computer Skills
Experienced in Microsoft Office (Word, Excel, Outlook, etc.)
