Christiana Care is looking for a full-time Executive Assistantto provide administrative support to members of the senior executive team to maximize their effectiveness and efficiency; supports executive with strategic system-wide functions/programs.

Position requires an independent problem solver and leader who can function effectively in a rapidly growing and changing environment. Works as a team member with other staff to provide effective coverage for all executives within the suite.

Knowledge, Skill, and Ability Requirements:
  • Knowledge of business office practices.
  • Knowledge of clerical methods and techniques.
  • Proficient in Microsoft Office products - Word, Excel, PowerPoint, Outlook
  • Knowledge of office equipment and machines.
  • Knowledge of medical terminology
  • Knowledge of departmental policies, procedures, and operations.
  • Ability to plan, prioritize, and handle various tasks simultaneously.
  • Ability to use personal computer using word processing, spreadsheet, and data base programs to enter, store, and retrieve information.
  • Ability to maintain confidential and sensitive information and materials.
  • Ability to interact effectively and maintain constructive working relationships.
  • Ability to establish and maintain departmental filing system.
Principal duties and responsibilities:

Provides administrative support to, Campus Executive Director and Chief Medical Officer; attends meetings and takes and types minutes, composes agenda, drafts and types correspondence, schedules meetings, maintains up to date filing systems, screens incoming calls and takes accurate telephone messages.

  • Communicates directly, and on behalf of senior executive, on matters related to executive's programmatic initiatives.
  • Provides a link for smooth communication between the executive office and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  • Assures planning and coordination of executive's calendar and events; schedules appointments and prepares detailed itineraries, complete with travel accommodations, etc.
  • Anticipates executive's needs and helps ensure executive is prepared for daily activities.
  • Performs special research projects at the executive's direction and establishes relationships crucial to the success of the organization. Researches, prioritizes, and follows up on incoming issues; determines appropriate course of action, referral, or response.
  • Understands corporate policies and procedures and stays current with updates. Advises executive and department about changes.
  • Provides administrative support to executive manager, including attending and taking minutes at meetings, preparing agenda, typing, and drafting correspondence, scheduling meetings, and meeting rooms, maintaining up to date filing system, screening incoming calls, and taking accurate telephone messages, preparing PowerPoint Presentations and Excel Spreadsheets.
  • Assures maintenance of travel and expense account records, including form preparation and figure reconciliation.
  • Reviews incoming correspondence and prepare responses.
  • At times, be called upon to coordinate, manage, and support various Health System initiatives. Serve as point of contact for internal stakeholders.
  • Receive, acquire approval, and distribute various management communications.
  • Manages departmental SharePoint sites to ensure timely distribution of information.
  • Maintains up-to-date distribution lists.
  • Maintains supply inventory, ordering and updating as needed.
  • Assists with budget preparation. Run reports in Workday for capital and operating budgets.
  • In consultation with executive, acts as proxy in reviewing and approving department budget expenses as per Corporate Signing Authority.
  • Always maintains confidentiality.

  • Performs other related duties as required.
Hours: Day Shift

Education and experience requirements:

  • High School diploma or equivalent required.
  • Completion of a program in secretarial science or related field preferred.
  • Four years clerical or secretarial experience.
