Children of the Nations is Hiring an Executive Assistant Near Silverdale, WA

MAIN AREAS OF FOCUS: Administration, Planning

SUMMARY:

Work collaboratively with the Lead Executive Assistant to provide high quality executive support to the Founder’s, with a specific focus on tactical support.

YOU’LL BE RESPONSIBLE FOR…

  • Calendar Management
    • Manage and maintain Founder’s calendars under the direction of the Lead EA.
    • Ensure regular monthly/annual meetings are on the calendar and send reminders
  • Meeting Support
    • Provide coordination for Int’l Programs and Int’l Branch meetings – ensure agendas are created, send meeting reminders, take notes, follow up with notes & action items
    • Provide meeting support to the Founder & CEO, including agenda development/distribution (as needed) and following up on action steps.
    • Work with Philanthropy to schedule time for partner thank-you calls
  • Travel Support
    • Provide travel support to Founder’s – ensure dates/flight info are on calendars, support other staff with schedule development, prepare materials needed for travel.
    • Provide travel support for Int’l guests – assist with passports, visas, accommodations, and schedules
  • Provide Support to Lead EA:
    • Assist with Founder presentation needs, as needed
    • Assist with Int’l Board meeting preparation – travel coordination, food and office preparation, documentation support
    • Assist in management of documentation on the Executive & Int’l SharePoint Sites
    • Assist in completion of Founder’s tasks, as needed and directed by Lead EA
  • Other Administration Responsibilities:
    • Handle receipts and assist with expense report completion for Founder’s.
    • Work with Liaisons to maintain In-Country Staff Contact & Anniversary List
    • Assist with approvals and signatures needed by Founder’s, including monthly grant wires that need signed by the CEO before wire (interface with Finance Director) and Annual Operational Plan review and approval (interface with EA to Senior Liaison)
    • All other duties and projects as assigned by the Lead EA or Founder’s that align with the responsibilities of the role.

YOU MUST HAVE…

  • Associate or Bachelor's degree from an accredited college and/or the equivalent with 3-5 years of relevant work experience providing moderate to complex administrative support to a high-level manager or above.
  • High computer literacy. Proficient with Microsoft Office: Word, Excel, PowerPoint, SharePoint
  • Excellent interpersonal and communication skills (written and oral).
  • Effective and timely interpersonal, written, and oral communication skills.
  • Ability to communicate in a diplomatic, friendly, yet effective manner with leadership, staff, and outside venders.
  • Highly organized, demonstrated ability to multitask in an efficient manner.
  • Professional in dress, appearance, and overall demeaner.
  • Ability to handle confidential and sensitive information.
  • Dependable, punctual, and ability to prioritize work.
  • Proactive and strong ability to work independently

IT’S AN ADDED PLUS IF YOU HAVE…

  • Previous experience as an Executive Assistant
  • Experience with event coordination and planning
  • Experience writing professional documentation such as policies and procedures
  • International and cross-cultural experience, especially in Africa, the Dominican Republic or Haiti
