Administrative Assistant / Receptionist
Job Description
Minimum Qualifications
· High school diploma/GED and 3 years office work experience.
· Excellent oral and written communication skills
· Computer literate
· Excellent organizational/multitasking skills
Essential Responsibilities
· Greet visitors and staff; ascertain their needs, direct them to appropriate personnel.
· Answer telephones, screen incoming calls, forward calls when necessary, taking messages when calls cannot be completed.
· Maintain front desk communication log.
· Ensure customer satisfaction.
· Responsible for distributing keys in key safe and maintaining key sign out log.
· Assist applicants with application process.
· Schedules meetings for Administration Building on calendar.
· Daily route to Bank and Post Office - Process incoming and outgoing mail.
· Maintain Maintenance records and coordinate deliveries and pick-ups.
· Notify all staff in all companies of upcoming training classes, and complete certificates.
· Provide administrative support to all staff.
· Distribute pay checks to employees bi-weekly.
· Restock bathrooms and copier at the end of the day.
· Cleaning
· Helping individuals with needed items.
· Maintain Confidentiality
· Other duties as assigned.
Essential Requirements of Work
· Working knowledge of Business English, spelling, punctuation, grammar; office practices and procedures.
· Ability to understand and follow oral and written instructions, and proof reading.
· Ability to develop skills in operating common office equipment.
· Establish satisfactory working relationships with other employees and with the public.
· Ethical business practices

· Ensure confidentiality of consumer, employee and information discussed with Managers.
Nature of Work
The employee in this classification receives supervision from the
HR Director. After training, routine assignments are usually performed independently, and the more difficult assignments performed under closer supervision. Work at this level requires the exercise of independent judgment. Work is evaluated in terms of overall operating efficiency and adherence to the regulations and policies.
