Charles River Recovery LLC is Hiring an Intake Support Specialist (16 hours/week with weekend rotation) Near Weston, MA

The Intake Support Specialist assists guests and patients throughout the Initial intake process. Maintaining professionalism in all front desk related functions, and maintaining a high standard of service and hospitality.

Specific Responsibilities:

  • Ensuring patient safety through the initial intake process with patients struggling with Substance Abuse and related withdrawals.
  • Provides the highest quality of customer service at all times and maintains a friendly, cheerful and courteous demeanor at all times
  • Handles confidential information, including patient/guest records, with a high degree of integrity and adhering to all HIPAA and confidentiality policies
  • Answers and routes calls as appropriate, and takes messages with accuracy
  • Greets and completes established check-in procedures for arriving guests daily, using both manual and computerized methods, to ensure guests are satisfied and in rooms as requested
  • Assist in purchasing of routine office supplies for department heads and distribution of packages
  • Mataining supply of comfort wear and patient essentials for intake process
  • Facilitates guest departure (check-out) daily by following established procedures to close guest accounts and open the room for the next guest
  • Regularly calculates and/or posts monies, receipts, guest accounts and other forms of credit using accurate, proper cash handling methods and established procedures to present the customer with timely and precise program charges upon check-out
  • Maintains good customer relations by keeping abreast of all in-house and area functions to answer questions and concerns with timely and knowledgeable responses, in person and on telephone
  • Resolves guest challenges and takes appropriate action to ensure 100% guest satisfaction
  • Receives and transmits mail, packages and messages for patients
  • Keeps lobby and desk area clean and presentable
  • Demonstrates honesty and integrity at all times in the care of the patients and the use of the facility property
  • Consistently arrives for work on time and adheres to the program’s attendance policies
  • Demonstrates the ability to prioritize tasks and responsibilities and complete duties in the allotted time
  • Maintains adequate knowledge of the program’s emergency preparedness plan, emergency and security procedures
  • Participates in all mandatory training and attends in-service training as required
  • Performs other duties as assigned, requested or deemed necessary by management

Education and Experience:

  • High School diploma
  • Experience in related field preferred
  • Knowledge of HIPAA policies and procedures
  • Proficient with Microsoft Office.
  • Strong communication and negotiation skills.

Work Environment: May work in a variety of environments including professional offices, clinics, hospitals, or out- patient facilities. They spend much of their time actively working with patients.

Physical Demands: While performing the duties of this position, the employee is regularly required to talk or hear. The employee frequently is required to use hands to finger, handle or feel objects, tools, or controls. The employee is occasionally required to stand; walk; sit; reach with hands and arms; climb or balance; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move objects up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus.

Travel: Travel is primarily local during the business day, although some out-of-the-area and overnight travel may be expected
