Center for Child Counseling is Hiring a Development Assistant Near Palm Beach Gardens, FL

JOB SUMMARY:

The Development Assistant is a key part of the Development team and is responsible for supporting the Senior Director of Advancement, CEO, and the Development team in all administrative functions. The position also works on events, solicitations, and other fundraising activities, and provides day-to-day support on the Development database, Bloomerang.

The Development Assistant should be a passionate, positive, committed, and knowledgeable individual who wants to contribute to the growth and development of Center for Child Counseling.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

B.A.and a minimum of 3 years of work experience; nonprofit experience preferred. Additional requirements include:

  • In-depth knowledge of agency programs and services.
  • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
  • Advanced computer and technology skills, including experience with, and advanced use of customer databases.
  • Strong organizational skills and ability to run a department’s administrative requirements, with ability to problem solve and support multiple priorities and deadlines.
  • ·Minimum of two years’ experience in marketing or corporate relationship development and/or fundraising.
  • Highly organized individual who is a task-oriented problem-solver.
  • Excellent verbal and written communication skills (with staff, agency clients and community providers).
  • Ability to handle multiple projects simultaneously.
  • Outstanding teamwork, time-management, and organizational skills.
  • Demonstrated perseverance, respect, creativity, and flexibility while maintaining a positive attitude.

ESSENTIAL JOB FUNCTIONS AND KEY RESPONSIBILITIES:

The Development Assistant will work closely with the Senior Director of Advancement and Development team to build a successful a sustainable development office at Center for Child Counseling to raise unrestricted donor funds, monitor grants and reports, and provide timely communication to stakeholders and donors.

It is the responsibility of the Development Assistant to support and help organize, schedule, implement, and maintain the organization’s fund development activities.

An essential function of this position is monitoring and tracking relationships with foundations, individuals, and corporate donors through Center for Child Counseling’s Donor Management Software, Bloomerang. This may include research and organizing or uploading grants. A key administrative task is sending out communication, such as event invitations, end of year appeals, and impact reports to funders and donors. The Development Assistant will provide reports to the CEO and Senior Director of Advancement to support regular, active engagement with donors, funders, and other key stakeholders.

The Development Assistant must be confident and assured with a positive outlook and be committed to working at a high level of quality with an ability to multi-task and to embrace change. This position must believe in and be dedicated to the Center for Child Counseling’s mission and thrive as part of an energetic team.

The Development Assistant must be able to speak clearly in person and on the phone, to listen carefully, and to be able to proactively asks questions when clarification is needed about assigned tasks. The Development Assistant will:

  • Help track donations and prepare donor correspondence, including supporting special appeals and mailing of invitations.
  • Track all donors, funders, and corporate sponsors and pull accurate lists for mailing invitations, impact reports, and other communications.
  • Maintain files as requested.
  • Enter meeting information and other records in Bloomerang.
  • Conduct research on prospective foundations and individuals.
  • Coordinate elements of mailings and e-solicitations.
  • Support the maintenance of Development pipelines and event timelines.
  • Prepare materials and facilitate communications with Circle of Giving and other special fundraising or event committees.
  • Improve donor relations by fulfilling essential administrative duties.
  • Produce reports on individual and institutional donors.
  • Perform data entry and help track donations in Bloomerang.
  • Complete calendaring tasks.
  • Respond to emails and phone calls within 24 hours.
  • Manage and maintain sensitive and confidential information.
  • Administrative support in fund development efforts
  • Assisting with grant management, stewardship, and donor pipelines
  • Assisting with fundraising events, including Circle of Giving and Lead the Fight.
  • Clear and professional communication on behalf of Center for Child Counseling.
  • Perform research to discover market trends and procurement opportunities.
  • Help organize grant requests.
  • Handle any other administrative tasks as necessary.
  • Undertake special projects as assigned by Senior Director, Advancement and CEO.
  • All other duties as assigned

Fund Development

  • Manage all administrative tasks within Fund Development.
  • Assisting Senior Director of Advancement and CEO with print, email, and media. marketing collateral related to fundraising (for example: monitoring supply of all donor and event materials, placing orders with printing, proofreading materials, etc.).
  • Maintaining accurate mailing lists and information in Bloomerang.
  • Complete all tasks as assigned within Development meetings.

Grant Management

  • Manage all administrative tasks within Grant Management, including:
  • Database management of all events, customer interactions, income, and prospective client building.
  • Assisting with tracking of drawdowns, compliance, and assembling reports
  • Grant Application materials kept up to date and accessible.
  • Grant Application and Reporting logistics management; assist with all applications.

Stewardship

  • Passionately promote the mission, values, and vision of the Center for Child Counseling to the community through communications and events.
  • Establishing and following stewardship process:
  • Logistics of database tracking and reporting
  • Yearly standardization and updating of thank you letters, and basic automatic communications.
  • Help ensure regular communication throughout the year with donors and funders.
  • Assisting Development Department with reports (Annual, Action, Year-End)
