Position Overview:

The Executive Assistant provides critical administrative support to both the Chief Executive Officer and the Chief of Staff, ensuring efficient operation of leadership activities within Cayuga Health System. This role is pivotal in managing day-to-day administrative duties, coordinating schedules, and acting as a liaison between top executives and other stakeholders. The ideal candidate will handle confidential information with utmost discretion and contribute to the overall effectiveness of our senior management team.

What you'll do:

  • Executive Support: Provides confidential, executive-level support by managing critical aspects such as complex scheduling, travel, expense reimbursements, and meeting and conference organization, applying sound judgment to prioritize essential tasks.
  • Schedule Management: Coordinates and maintains the CEO's and COS's schedules, exercising discretion to prioritize access and time, with diligent follow-up on related commitments.
  • Meeting Preparation: Prepares and distributes materials for meetings, including agendas and presentations, and ensures both the CEO and COS are well-briefed ahead of engagements.
  • Office Representation: Upholds a professional environment within the CEO's office, ensuring a welcoming atmosphere for staff and visitors alike.
  • Project Management: Manages and executes special and ongoing projects, liaising with senior leaders and external partners, and organizing all necessary resources and documentation for successful outcomes.
  • Document Management: Utilizes Microsoft Office suite to efficiently create and manage documents and presentations in support of executive operations.
  • Additional Responsibilities: Handles other tasks as necessary, adapting to evolving requirements and maintaining high standards of executive support.

Minimum Qualifications:

Education: A Bachelor's degree in Business Administration or a related field is required. In lieu of a degree, directly related experience may be considered on a year-for-year basis.

Experience: A minimum of 5 to 7 years of experience in administrative support, preferably in an executive setting, demonstrating progressive responsibility and expertise in managing complex administrative tasks.

  • Physical Nature of the Job: Sedentary work: Exerting up to 10 pounds of force occasionally in carrying, lifting, pushing, and pulling objects. Sitting most of the time, with walking and standing required only occasionally
