Position:: Administrative Support (Receptionist/General/Program Support)
Department:: Program Departments and Administration
Reports to:: Executive Assistant to CEO
Supervises:: None
FLSA and Employee Status:: Non-Exempt, Full-time
Position Summary: :Performs a range of tasks associated with receptionist and secretarial duties for supporting the agency’s operations. Duties are but not limited to the following tasks: answering phone system; receiving, screening, and routing calls; greeting visitors and directing them to the appropriate resource; and providing general clerical and data entry services.
Essential Duties/Responsibilities::
  • Provide receptionist services, receiving clients and visitors. Inform appropriate staff of their arrival. Monitor and oversee the appearance of the waiting area.
  • Process incoming phone calls to the agency.
  • Screen phone inquiries and route call to the appropriate department, staff member, or back up, as required.
  • Forward calls to voice mail if staff are unavailable.
  • Provide a range of secretarial and support services including, typing, filing, data entry and recordkeeping.
  • Operate a range of automated and standard office equipment including the phone system, copier, and postage machine, etc.
  • Sort and distribute mail as necessary as well as metering mail and taking agency and Diocese mail to post office each evening.
  • Receive payments from clients and donations from donors and records all of these on daily cash sheet.
  • Scan and file all copies of daily transactions to appropriate finance personnel.
  • Prepare donor receipts and acknowledgement letters for mail distribution.
  • Provide data entry services including reports, intakes, and other client records and services for various programs as needed.
  • Maintain schedules of staff members.
  • Provide backup to other support staff positions, as required.
  • Respond with sensitivity and awareness of the service population’s diverse economic, ethnic, and cultural backgrounds.
  • Assume additional appropriate duties and responsibilities as required.
Qualifications::
  • High School Diploma/Associates or equivalent with 12 months experience.
  • Clear, pleasant phone voice.
  • Proficient in Microsoft Office applications.
  • Three months or more of money-handling experience.
  • Display an excellent communication model with clear, direct, and open skills when speaking and/or writing to people from outside the agency as well as with employees and volunteers.
  • Good decision-making capabilities.
  • Display a positive attitude and willingness to assist employees, volunteers, and vendors.
  • Bi-lingual preferred (Spanish, Dari, Pashto, Burmese).
Conditions Of Employment::
  • Have a valid driver’s license with a clean driving record.
  • Reliable vehicle with personal vehicle liability insurance coverage per person and per occurrence when using personal vehicle to transport clients, staff members, or volunteers
  • Personal vehicle liability insurance coverage per person and per occurrence when driving agency vehicle and transporting clients, staff, or volunteers
  • Successful completion of federal and state background checks
  • Successful completion of child welfare screening
  • Successful completion of drug and Mantoux (TB) screens
  • Comply with the agency’s mission, code of ethics, Catholic Social Teaching, policies and procedures, and confidentiality

  • Must have ability to reason and make judgements, to understand and follow oral and written instruction, to guide and/or give instructions, and to make decisions in accordance with established procedures and policies.
  • Physical strength: must have ability to lift, push/pull, and hold/carry 25 lbs.
