We serve financial advisors and investors through three entities, each headquartered in Omaha, Nebraska: Carson Wealth, Carson Coaching, and Carson Partners. Who We Want
The Manager, Operations will lead the coordination of operational and administrative support activities to facilitate the smooth and efficient running of our office. Act as a liaison with the other functional departments at the Carson Home office and externally with the local vendors to manage and assign areas of responsibility.
What To Expect
Coordinate areas with the Carson Home Office including Compliance, Marketing, and Business Operations.
Coordinate all communications of finance and expenses between CWTSFG and Carson Home Office in Omaha.
Lead special projects (special events, marketing, etc.) Track all projects outlined by monthly office planning days and other projects as assigned.
Coordinate all marketing activities with the Home Office Marketing team - follow and implement the CWMG-TSFG marketing calendar with Marketing Specialist in Omaha.
Coordinate with the Home Office talent team on all hiring processes, job postings, interview scheduling, hiring events, and other HR-related activities.
Manage the office facilities:
Oversee the maintenance and coordinate with vendors to maintain the office and equipment.
Manage the lease agreement and work with vendors on any repairs needed.
Oversee office supply inventory and work with Director of First Impressions on necessary orders.
Manage the Director of First Impressions to ensure smooth operation of our business and front office area.
Support the Director of First Impressions in assisting the Chairman and President to manage their responsibilities and meetings.
Oversee the activities of the interns, assigning them tasks to help the planning department and others, when needed.
Provide administrative assistance to Senior VPs and VPs, as requested.
Manage and provide oversight of firms CRM system, Salesforce.
Manage and coordinate travel and conference activities for all staff members.
Assist with onboarding and compliance requirements for new clients, be another connection to our office (manage the new client experience with operation/admin stakeholders).
Coordinate expense reports for officers.
Ensure compliance aspects of expenses and activities are properly logged (Carson and Cetera).
Coordinate the documentation of gifts and entertainment in Cetera and Salesforce for compliance reporting.
What You Need
5 years experience working in an administrative and operational capacity
Ability to work and communicate effectively with executives and senior leaders
Organizational skills to prioritize and complete work efficiently
MS Excel, Word, Outlook and PowerPoint proficiency to produce professional documents
Ability to work simultaneously on multiple projects
Ability to follow instructions, including a strong adherence to meet deadlines.
Effective problem-solving skills to resolve routine client questions
Verbal communication skills to communicate ideas and thoughts in a clear, professional manner
Detail-oriented to ensure the accuracy of reports, correspondence and databases
Ability to work ethically and with integrity, including maintaining client and firm confidentiality
Ability to work independently
Preferred Education and Experience
Licensed with Series 7, 63, and 24
Experience working in Salesforce
Experience working in the financial services industry
Associate or bachelors degree in a related field
