Carlton Fields is seeking a Marketing and Events Coordinator. This position can be based in our Miami or Tampa office. The Marketing and Events Coordinator will assist the Marketing and Business Development department. EventsAssist with planning and executing all in-person and virtual marketing events (e.g., conferences, seminars, forums, webinars, receptions, dinners, etc.), involving sourcing venues for manager and attorney review/approval; creating communications and corresponding contact lists; administering all logistics related to working with various vendors, (e.g., catering, audiovisual, entertainment, floral design, etc.); preparing or obtaining signage and other printed collateral pieces; creating nametags; and preparing gifts/giveaways.Support fulfillment of the firm’s suite and season tickets and any additional client entertainment events.Facilitate and coordinate fulfillment of firm sponsorships in conjunction with marketing team members. Assist in working with attorneys/consultants and clients on offering custom CLE/CE programs, involving filing application forms and materials to various jurisdictions; creating appropriate forms for compliance; reporting attendance; and administering individualized and time-sensitive follow up for all attendees.Responsible for maintaining various marketing technologies to assist with event planning and execution, including email marketing system, client relationship management system, and registration platforms (e.g., Survey Monkey, SignUpGenius).Assist in working with vendors to source and subsequently order promotional products for general store stock, as well as for specific events.CommunicationsPost content to the firm’s external website.Assist with the design, development, and distribution of electronic communications, such as announcements, alerts, blog posts, and invitations.Provide backup assistance for social media postings as needed.Assist with the onboarding of attorneys and consultants, including but not limited to scheduling photos, posting bios to the firm’s external website, and facilitating ordering of business cards and nametags.Manage marketing department intranet announcements.Perform other related duties as assigned Education & ExperienceBachelor’s degree concentration in Marketing, Business, or Communications preferred3-5 years of experience
