The Office and Fleet Manager has primary responsibility for internal and external customer service management. Tasks and duties are focused on management of the office building to ensure staff and visitor safety; overseeing office functions including front desk/receptionist coverage; providing oversight for office equipment, inventory, supplies, and managing Caritas fleet assigned to the office. This position reports to the Office Administrator.


ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following, although other duties may be assigned.

Responsibilities:

  • Performing or providing oversight for office functional duties such as: processing mail, answering phones, greeting visitors, ensuring adequate office supplies are available for staff, managing work order requests related to building, ensuring office equipment in working order,
  • Completes vouchers for office purchases or services rendered, when applicable.
  • Maintains daily log for incoming checks, cash, and credit card transactions.
  • Contact for and management of vendors (water, copier, cleaning, shredding, vending, etc.)
  • Ensures office complies with accreditation requirements, such as fire and tornado drills and monthly building inspections.
  • Manages and/or provides oversight of all Petty Cash for program/department use
  • Ensures adequate file storage on site and manages off-site file storage for legacy and long-term files.
  • Management of Caritas fleet assigned to building/location
  • Daily Monitoring of Fleet GPS data reporting
  • Coordinates vehicle usage, maintenance & general upkeep with supervisors.
  • Reconciles vehicle gas card transactions, reporting discrepancies to Finance Department.
  • Ensures administrative support is available to the programs and/or departments residing in the building.
  • Manages scheduling and setting up meetings in the conference/meeting rooms, including purchasing of food or other meeting supplies.
  • Manages office assignment/workspace for new hires, current staff, coordinating with other administrative and program staff to ensure adequate on-boarding.
  • Assist with administrative or clerical duties with managers or directors residing in building.
  • Supports efforts towards staff morale initiatives and/or events.

EDUCATION and/or EXPERIENCE REQUIRED/PREFERRED

Degree/Field Required: High School diploma/GED (Related fields will be considered.)

Degree/Field Preferred: 4 yr degree (Related fields will be considered.)
