ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, although other duties may be assigned.

• Performs or provides oversight for office functional duties such as processing mail, answering phones, greeting visitors, scheduling, and setting up meetings in the conference / meeting rooms, ensuring adequate office supplies are available for staff, managing work order requests related to building, ensuring office equipment in working order, etc.
• Management of Caritas fleet assigned to building ensuring scheduling for usage, maintenance, and general upkeep. Reconciles vehicle gas card transactions and report any discrepancies to Finance.
• Completes vouchers for office purchases or services rendered, when applicable.
• Maintains a daily log for incoming checks, cash, and credit card transactions.
• Contact for and management of vendors (water, copier, cleaning, shredding, vending, etc.)
• Ensures office complies with accreditation requirements, such as fire and tornado drills and monthly building inspections.
• Manages Petty Cash for program / department use.

QUALIFICATION REQUIREMENTS : Minimum requirements include an associate degree / 60 hours of college credits, and two years of experience running an office, preferably four years of experience running an office successfully.

Ability to function autonomously and navigate and understand vendor agreements / contracts and provide oversight for building management.
