Essential Duties & Functions

Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions. Specifically, this role will be responsible for:

  • Engage with GBLI employees in an energetic and professional manner
  • Welcome and Greet visitors as needed in support of Department’s schedules
  • Support GBLI’s senior leaders with scheduling travel, meetings, interviews
  • Partner with the admin team to collaborate on companywide events to make a memorable moment for all GBLI people
  • Schedule and confirm appointments, and book conference rooms or other meeting locations.
  • Collects and inputs departmental data, prepares and distributes reports, and maintains physical or computer files
  • Assists in preparing Microsoft Word, Excel, and PowerPoint presentations
  • Order and distribute office supplies as needed and partner with the mail room on delivery of physical mail and courier shipments through the loading dock
  • Arranges for facilities maintenance as needed with the landlord and tenant services team
  • Invoice Processing and recurring bill payments
  • Support onboarding and off-boarding of GBLI employees
  • Management of vendors, security, and card access systems
  • Safety protocols and employee updates (in conjunction with HR and Marketing)
  • Manage (in conjunction with IT) the OnSolve Emergency Alert System
  • Notary Support for all GBLI departments
  • Directory updates (in conjunction with IT)
  • Coordinate and execute on employee events:
  • Coordinate Employee Celebrations: Anniversaries, Retirements, Birth Announcements

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • High School Diploma required

  • 2-4 Year of administrative and/or facilities management experience required

  • Exceptional organizational skills; including the ability to create one’s own organizational strategy as well as the ability to logically plan and organize the events
  • The ability to be receptive to change, including the modification of planned events on short notice, and change in responsibilities
  • The ability to deal with stress effectively
  • The ability to interact with many types of personalities and attempt to effectively resolve conflicts independently
  • The ability and interest to identify ways of streamlining administrative processes as well as grow one’s own job
  • Ability to handle time sensitive and confidential issues
  • Someone who is currently, or willing to become a Notary
  • Knowledge of Microsoft Office Suite, including Word, Power Point, and Excel
