BUSINESS SERVICES COORDINATOR JOB SUMMARY

The ideal candidate will have great attention to detail and enjoy working in a fast-paced environment. They will work directly with the Plan Check Engineering team and provide administrative support related to plan check services including but not limited to: coordinating with the team, submitting plan checks, preparing comments, scanning plans, printing plants, putting together reports, getting plans packaged to submit to the client, daily timesheet entry, reporting hours when making submittals, and updating plan check log daily including assigning plan checks to staff and adding new plan checks. Works with project managers and project engineers to ensure that aspects of the project are carried out and cared for. Ensure that work is done according to schedule. Displays a team mentality by interacting with and serving as a point of contact for personnel in designated operating groups. Follows and adheres to the client service expectations for both internal and external clients.

BUSINESS SERVICES COORDINATOR JOB DUTIES

  • Coordinating plans and reports with Plan Check Engineering Team.
  • Coordinating with engineers and clients. 
  • Performs record keeping, scanning, and documentation of plan check reviews.
  • Logging new plan check submittals and resubmittals.
  • Monitors, updates, and sends out plan check logs to clients on a weekly basis in Microsoft Excel. 
  • Packaging and submitting both hard copy and electronic copy plan checks for submittals and resubmittals.
  • Assisting in preparation of proposals.
  • Sets up and maintains projects in project management platform.
  • Processes additional service agreements, work authorizations, and change orders for multiple clients.
  • Supports Project Managers with contracts and subcontracts protocols.
  • Works with the billing and accounts receivable team to resolve invoice issues with internal and external customers.
  • Reviews timesheet and project expense reports.
  • Inform project managers about project timeline slips and/or budget overruns.
  • Displays a positive can-do attitude and ensures that members of the team are following project management processes and standards.
  • Works independently and as a team member; recognizes and sets priorities and meets deadlines.

Requirements

  • High school diploma required. Associate degree in accounting, business administration, or related discipline preferred.
  • Requires 1-3 years’ experience in an administrative support role. Experience in the civil engineering industry or closely related field a plus.
  • Must have intermediate knowledge in Microsoft Word, Excel, Outlook and beginner knowledge in Microsoft PowerPoint and Adobe Acrobat.
  • Experience in problem analysis, judgment, and using critical thinking skills.
  • Prior experience with Deltek Vision preferred.
  • Communicates effectively, both orally and in writing.
  • Excellent organizational and time management skills.
  • Professional appearance and interaction. 
  • EPR or Project Dox experience a plus.
