Position: Clerk Specialist (40 hour/12 month)

Cambridge Rindge & Latin School is a comprehensive high school divided into four Learning Communities designed to promote high levels of learning and achievement for all students. Honors courses are offered in all core classes (English, History, Mathematics, and Science); Advanced Placement (AP) courses are available to qualified students in grades 11 and 12.

The Opportunity:

The Cambridge Rindge and Latin School seeks a Clerk Specialist. Under the direction of the Learning Community Deans, the key responsibilities of the Clerk Specialist shall include: 

  • Welcome and manage students, families, and other visitors to the office.
  • Keep accurate staff attendance, payroll records, and general files for all learning community staff.
  • Assist in securing both regular and last minute substitute teachers.
  • Distribute staff mail from main office to the learning community mailboxes.
  • Schedule weekly 504 accommodation plan meetings and mailing draft plans to families.
  • Copy and track educational assessments for both Individual Education Plans and 504 Accommodation Plans;
  • Support the organization and tracking of MCAS, PARCC, PSAT, and Readistep testing materials before, during, and after scheduled examination periods.
  • Answer phones and forward calls and messages to the appropriate parties as necessary.
  • Order and maintain supplies for the learning community office.
  • Printing honor roll certificates.
  • Keep accurate student attendance including late arrivals, early dismissals, nurse visits, and inputting paper attendance from substitute teachers.
  • Print attendance daily reports for the Dean of Students.
  • Input discipline reports and generating and mailing attendance and suspension letters.
  • Maintain general student files both in the office and on ASPEN including entering student required forms data.
  • Assign a Falcon Block period to new students.
  • Assist learning community guidance counselors with filing.
  • Assist in the distribution of caps and gowns for the school’s graduation ceremony.
  • Make photo copies as needed.
  • Handle return mail for residency checks.
  • Print and stuff caregiver mailings including but not limited to schedules, progress reports, and report cards.
  • Other duties as assigned.

Your Skill Set:

As the incoming Clerk Specialist, you will possess many, though perhaps not all, of the following characteristics and qualifications:

  • Ability to work both independently and collaboratively with learning community members and school-wide personnel.
  • Secondary school experience is preferred. 
  • Requires multi-tasking abilities including handling student, family, and staff needs on a daily basis within the learning community setting. 
  • Demonstrated experience working with computers using email, word processing, and spreadsheets.
  • Familiarity with the Aspen database system, Substitute Online, Novatime payroll software, and TipWeb booking tracking software is desirable.

Terms of Employment:

Full time position (12 months/year, 40 hours/week). This position is available March 3, 2023.
