Department Summary
Procurement & Contract Services is responsible for the acquisition of all goods, services, leases and construction on behalf of California State University, San Bernardino. Campus procurement professionals are required to adhere to state, federal, California State University, and campus policies and procedures to assure that legal requirements are met and good business practices followed.
Job Summary
Under general supervision of the Executive Director and Chief Procurement Officer, the Administrative Coordinator will serve as a contract coordinator for non-monetary campus contracts and provide administrative coordination for the Procurement and Contracts department.
Responsibilities include, but are not limited to:
  • Working as a member of the Finance and Administrative Services Support Team (FASST) coordinate the clerical and administrative support functions for assigned areas. Be able to make independent decisions on day-to-day operational responsibility under general supervision. Be able to interpret policies and procedures and apply them to make sound decision on transaction processing. Ability to effectively write and present own standard reports, draft policy and procedure documents and other general communications.
  • The position will be embedded with the procurement team and will independently provide administrative coordination support for the finance and admin services virtual shared services.
  • Administrative coordination support for various recruitment requests, payroll, time & attendance reports; staff search committees.
  • Payroll duties, collect & input and verify time and attendance reports, update absence management with monthly leave activity, maintain and reconcile absence management leave balances.
  • Coordinates nonmonetary contracts from initiation, execution to implementation, and evaluation.
  • Administrative work that involves complex operational and procedural matters. Serve as a resource to staff members in various areas; Provide information on department, division, university policies and practices, as well as software applications. Assist campus users with policies and practices questions.
  • Often interact with officers and staff at various levels within and outside the university, often in sensitive interpersonal situations.
  • Coordinate meetings arrangements, prepare agenda and meeting minutes; Communicates with university administrators, faculty, staff, students and off campus entities in person, by telephone and through email; Provide back up coordination support to the office of the Vice President for Admin & Finance and the office of the Associate Vice President for Finance and Administrative Services.
  • Other job-related duties as assigned.
Employment Status: Full-time, Non-Exempt, Temporary position.

Work Schedule
Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.
Key Qualifications
  • Experience to be fully functional in all technical aspects of work assignments.
  • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
  • Working knowledge of budget policies and procedures.
  • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
  • Ability to draft and compose correspondence and standard reports.
  • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
Education and Experience
  • High School diploma or its equivalent AND three years of progressively responsible experience in general office clerical or secretarial work or the equivalent.
Preferred Qualifications
  • Equivalent to Associate's Degree.
  • Experience working with academic and research departments.
  • Experience working with other (third party) public and private agencies.
  • Thorough Knowledge of Learning Service Agreements.
  • Three to Five Years' experience working in higher education.
  • Three to Five Years' experience supporting Procurement or Contracts.
Salary
Anticipated Hiring Range: $3,505 - $4,100 per month
Classification Salary Range: $3,505 - $5,008 per month
