Department Summary
The College of Extended and Global Education (CEGE) at California State University, San Bernardino offers a variety of programs and serves as the main outreach arm of the University to extend educational resources and services to broader audiences across the region, as well as nationally and internationally.
CEGE also leads CSUSB's internationalization efforts by collaborating with university and off-campus partners to develop and offer programs, activities, and services that support CSUSB's strategic goals. Through its Center for International Studies and Programs (CISP), CEGE serves as the hub for international students and scholars and education abroad. International Extension Programs (IEP) offers the English Language Program (ELP) and a variety of short term and customized educational programs.
Job Summary
Under general supervision, this position will serve as the administrative support for CEGE programs as well as facilities coordinator for CEGE's facilities that include the Center for Global Innovation (CGI) and the Yasuda Center (YC).
Responsibilities include, but is not limited to:
  • Providing administrative support for CEGE programs such as accessing emails from various CEGE email accounts, responding or directing them to the appropriate person or department; processing forms to support programs; facilitating and supporting course offerings and programs, responding to student inquiries, and developing solutions for students. The incumbent will maintain leads and student records in databases, such as Salesforce; submit documentation to process registrations and collect payment information; prepare and deliver grade reports and student certificates; prepare correspondence; generate program-related reports, as needed; and provide administrative support for the various college programs as assigned.
  • Duties related to facilities coordination include creating and maintaining the CGI and YC calendars, processing room reservations and event requests for all English Language Program (ELP), Professional and Continuing Education (PaCE), International Extension Programs (IEP) classes, short-term programs, and all CEGE special events and other facility use requests. The incumbent will respond to email inquiries, event requests, and callers; coordinate room set-ups for events; submit work orders or requests with campus departments, as necessary; maintain inventory of office supplies and equipment for the buildings; maintain a system for checking out equipment and perform regular equipment checks and inventory. Follow proper procedure for reporting equipment that requires repair.
  • The incumbent will assist with selecting student assistant applicants; lead them for building coverage and performance of duties; train support staff, including arming and disarming the alarm; assign daily tasks. This position is also responsible for ensuring building coverage when support staff call off. The incumbent will serve as liaison with an outside janitorial service for YC; identify issues and submit to janitorial service. Serving as the liaison with campus for CGI, will work to ensure timely repairs, maintenance requests, and janitorial services to ensure CEGE expectations are being met; will conduct visual inspection to ensure cleanliness, functionality and safety of students and staff; will submit work orders for building repairs and maintenance as needed in a timely manner.
Employment Status: Full-time, "non-exempt", probationary position (with the possibility of converting to permanent).

Work Schedule
Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.
Summer hours are Monday through Thursday from 7:00 am to 5:30 pm.
Key Qualifications
  • Experience to be fully functional in all technical aspects of work assignments.
  • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages. Knowledge of major MS applications, such as Word and Excel.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
  • Working knowledge of budget policies and procedures.
  • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
  • Ability to draft and compose correspondence and standard reports.
  • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
Education and Experience
  • High School diploma or its equivalent AND three (3) years of progressively responsible experience in general office clerical or secretarial work or the equivalent.
  • Valid California Driver's License.
Preferred Qualifications
  • Knowledge of PeopleSoft.
  • Experience with leading student assistants.
Salary
Anticipated Hiring Range: $3,276 - $3,300 per month
Classification Salary Range: $3,276 - $5,148 per month
