Job Summary
The Administrative Support Assistant will work in the Department of Educational Leadership and Technology under the general supervision of the Department Chair while working with the department Administrative Support Coordinator to provide a wide range of administrative support duties to the college, department chair, department faculty and students.
Responsibilities include but are not limited to:
Department and Student Support
  • Serve as receptionist and take the lead role in answering phones, assisting students, staff, office visitors, and provide appropriate information and/or guidance related to questions and processes handled by the department office.
  • Assist students and faculty with all student forms/processes including but not limited to leave of absence, change of grade, discount of grade, petition to add/drop, waivers, independent studies, course substitutions and grievances. Maintain knowledge on policies and procedures related to these processes.
  • Take the lead role in scheduling meetings/events, reservation of facilities and parking, and arranging hospitality when necessary. Facilitate the procurement of all items necessary for the events.
  • Collect a variety of information related to the department's operations including but not limited to faculty office hours, course syllabi, meeting minutes, book orders and student evaluations.
  • Set up and take meeting minutes for all department meetings.
  • Process program plans for all Masters programs in the department, working with Records to advance students to candidacy. Evaluate transcripts for comprehensive exam eligibility. Process thesis project applications as needed.
  • Maintain and order office supplies as needed.
  • Facilitate the process to hire graduate assistants.
  • Maintain department files for all part time faculty.
  • Provide support for events outside of regular office hours. These events may include but are not limited to commencement, credential ceremonies, department events and other college events. These events may take place on evenings and/or weekends.
Employment Status: Full-time, Probationary, "Non-Exempt" position (with the possibility of converting to permanent).

Work Schedule
Monday through Friday, 8:00 am to 4:30 pm, occasionally on evenings and weekends for events.
Key Qualifications
  • A thorough mastery of English, grammar, spelling and punctuation.
  • Must possess experience in using office software packages, technology, and systems.
  • Must have the ability to interpret and apply policies and procedures independently and use judgment and discretion to act when precedents do not exist, along with the ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Must possess the ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas, along with the ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Must have the ability to perform business math, analyze budgetary data, and make accurate projections, along with the ability to effectively write and present own reports.
  • Must possess the ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations, along with the ability to use negotiation and persuasion skills to achieve results and expedite projects.
  • Must have the ability to work cooperatively with a diverse campus community of people.
Education and Experience
  • High School diploma or its equivalent AND two years of experience in general office clerical or secretarial work or the equivalent.
  • Valid CA driver's license and insurance.

  • Current access and knowledge of EMS, People Soft: HR, CS, and CFS
Salary
Anticipated Hiring Range: $3,120 - $3,276 per month
Classification Salary Range: $3,120 - $ 4,592 per month
