Provide administrative support to the Osher Lifelong Learning Program (OLLI) and the program director
Responsibilities
Work with staff and volunteers to plan, execute, and evaluate OLLI courses, activities and events. In partnership with director and volunteers, determine priorities, develop plans and schedules, and successfully implement programs that meet OLLI strategic goals. Assist the director and volunteers with program outreach catalog distribution, electronic communications (internal and external), and other promotional opportunities. Prepare the OLLI catalog each term. Collect and prepare relevant content, plan the layout, proofread, and coordinate the production and distribution schedule. Work with vendors to ensure quality, budget, and timeline targets are met.
Establish and coordinate email communication strategies for internal and external marketing, member communications and instructor communications and will consult with the Strategic Communications Department with marketing efforts if needed.
Recommend and implement strategies to enhance the promotions of OLLI programs. Create materials to promote OLLI programs and activities. Establish and implement email and communication strategies for internal and external marketing, member communications, and instructor communications.
Develop, monitor, and maintain OLLI social media presence per established guidelines. Evaluate social media platforms and recommend appropriate membership engagement and marketing strategies and will consult with the Strategic Communications Department with marketing efforts if needed. Maintain the OLLI website, ensuring the accuracy and currency of all content. Monitor and verify proper functionality throughout the OLLI site.
Assist with registration system data entry for OLLI courses and activities. Monitor and process online and paper registrations (including payments) for memberships, course registrations, and event attendance. Monitor enrollment reports, rosters and membership data to identify patterns or potential areas of concern. Assist with member payments and credits, process refunds.
Oversee the timely and accurate distribution, collection, and processing of course evaluations instructor evaluations and annual member survey.
Perform other duties as assigned.
Minimum Qualifications: Required Education and Experience
High School diploma AND 5 years of progressively responsible experience in general office clerical or secretarial work or the equivalent.

Experience to be fully functional in all technical aspects of work assignments
Demonstrates thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages
Ability to use and quickly learn new office support technology systems and software packages is a prerequisite
Demonstrates thorough, detailed knowledge of applicable university infrastructure, policies, and procedures
Preferred Qualifications
Experience in building and management social media (Facebook, Twitter, Instagram)
Desktop publishing
Experience to be fully functional in all technical aspects of work assignments
Ability to handle effectively a broader range of interpersonal contacts including an older population
Ability to work effectively and harmoniously with a diverse spectrum of individuals
Compensation and Benefits:
Anticipated Hiring Range: maximum $3,681 monthly.
Classification Salary Range: minimum $3,681 - maximum $6,034 monthly.
The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year. Position Information:
Work status: Full-time/Non-Exempt/Temporary (up to one year with the possibility of further renewal)
Schedule: Monday - Friday, 8:00 am - 5:00 pm
