SUMMARY

The ICP program is searching for a full-time Advising and Practicum Manager to advise and to help guide students on which courses to take as they progress through the degree program, to ensure that they have fulfilled course requirements prior to beginning their training in practicum and to track student graduation applications. She or he will administer a faculty-based tracking system for evaluating student readiness and advancement to practicum. Additionally, the Manager will track, screen and assist in the training and evaluation of individual and group practicum supervisors. The Manager will perform some additional duties related to advising, practicums and training of pre-practicum students as requested. Below are the essential duties and responsibilities subject to change per needs of the department or th university.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Serves as main program contact for student needs around course advising, program agreement progress, initial phases of practicum readiness advising, and practicum application processes.
  • Organizes and tracks student progress through the degree program and coordinates meetings with students' faculty advisors as needed.
  • Works well and empathically with a variety of students with different needs.
  • Presents reviewed practicum applications to ICP faculty advisors, and coordinates faculty meeting reviews, evaluations and discussions about student readiness for practicum.
  • Acts as liaison between the ICP Program and other administrative departments; works closely with the Field Placement Office, Financial Aid and the Registrar to resolve problems as they arise.
  • Maintains student advising, practicum readiness, and practicum supervision records.
  • Assists students with questions regarding course sequencing, deadlines, general curriculum requirements, and completion of graduation forms.
  • Assists students, along with the Field Placement Office, in finding practicum placement sites for both local students and the special needs of students who live outside the Bay Area.
  • Communicates and collaborates with the Field Placement Office and the Integral Counseling Centers about student practicum placement timelines, application processes, and policies.
  • Maintains communication with ICP Practicum Supervisors, approves new supervisors with core faculty, tracks and updates supervisor records, and coordinates a biannual supervisor training.
  • Reviews supervisor evaluation forms in conjunction with core faculty.
  • Facilitates student trainings every semester on course sequence, program agreements, practicum readiness, and graduation workshops.
  • Tracks student progress through the program and clears students for graduation.
  • Assists with website updates and social media presence in conjunction with ICP administrative team and Communications Department of CIIS.
  • Assists with practicum open house events as needed.
  • Evaluates ICP's advancement to practicum system, including reviewing practicum readiness trends overall and for each student.
  • Assist core faculty and Field Placement Office in developing and using a computer-based data system for tracking student progress, evaluations by clinical supervisors and faculty advisor contacts.
  • Quality control of submitted clinical evaluations by instructors to ensure timeliness submission and completion of forms.

Job Requirements:


MINIMUM QUALIFICATIONS

  • Masters degree required; Masters in Counseling Psychology, Higher Education or related field preferred.
  • Excellent advising and counseling skills and an ability to reach out to students with enthusiasm and consistency.
  • Skills in academic advising.
  • Knowledge of counseling field placements procedures and California BBS MFT and LPCC licensing processes, desirable.
  • Minimum of two years of higher education student support administration and/or executive administrative experience.
  • Excellent and demonstrated office management skills and the ability to work independently.
  • The ability to effectively communicate verbally and via written correspondence.
  • Understanding of the graduate academic environment and privacy/confidentiality issues and mandates.
  • Ability to interact with students, faculty, staff, and the outside community with diplomacy and poise.
  • Proficiency with general computer use skills, as well as Microsoft Suite products, Jenzabar, Acrobat and data base applications.

ENVIRONMENTAL DEMANDS

Occasional work performed alone with ability to work remotely from time-to-time. Collaboration and constant work around and with other people.

WAGES AND BENEFITS

Salary Range: $69,000 - $74,000

CIIS offer a comprehensive benefits package.

  • Working Conditions - Duties are primarily performed in an office environment at a desk or computer terminal, typically Monday through Friday.
  • Background Check - Due to the sensitivity and requirements of this position, you should expect to undergo and be cleared of an employment background/criminal check, if extended an offer for employment. You may also be asked to provide proof of educational degree(s), licenses, or credentials pertinent to the position. If your job requires driving on behalf of CIIS you will be required to provide proof of a valid driver's license.
