Job Description
Job Title: Director of Grant Services
Department: Grant Services
Reports To: Vice President of Grant Services
FLSA Status: Exempt
Role Breakdown:
  • 60% Grant Services Operations Management/Team Management
  • 30% Project Management and Process Improvement
  • 10% Strategy Development and Implementation
Summary: Responsible for providing leadership, management and operational support to the Grant Services department. As a member of the Grant Services team, the director oversees the charity application and validation process for domestic and cross-border giving by ensuring compliance with IRS federal regulations while maintaining knowledge of local country laws that affect cross-border philanthropy. Responsibilities include providing senior staff level management and oversight to the department by supporting the Vice President of Grant Services in developing strategies and implementing effective management and improvement of the grantmaking protocol and grantee validation process. The director oversees the day to day operations of the Grant Services department while ensuring customer satisfaction for CAF America’s internal stakeholders, charity partners, and donors. The director maintains expertise in CAF America’s services and product offerings, international and domestic grantmaking, donor advised fund regulations, and team leadership by performing the following duties:
Duties and Responsibilities include the following. Other duties may be assigned.
  • Leads strategic planning by facilitating with stakeholders to develop team strategy that supports the CAF America strategic plan and performance objectives.
  • Assesses staffing needs of the Grant Services team based on forecasting and collaboration with stakeholder teams and the strategic plan and provides ongoing guidance to the vice president of grant services to improve operations.
  • Ensures effective communication with direct reports and stakeholders by developing communication strategies and plans that provide clear communication channels and responsive tactics.
  • Identifies strategic needs and develops plans for the improvement of Grant Services through process and technology improvement. Liaises with Technology and Cybersecurity, Operations, senior leadership, and others to coordinate the implementation of improved processes.
  • Ensures compliance with, and trains staff on, IRS and federal regulations that affect domestic and cross-border philanthropy. Maintains knowledge of and oversees and participates in the training of staff on local country laws that affect cross-border philanthropy.
  • Analyzes data sets to identify trends and patterns in complex datasets. Collaborates with the team to conduct a thorough analysis of data while creating presentations and reports based on the findings on an ongoing basis. Uses data to work with the vice president of grant services to identify opportunities for improvement and establish KPIs to measure the effectiveness of staffing or process decisions that impact the department.
  • Oversees hiring, training, management, and professional development of team members in the Grant Services department with the support of the assistant directors; and provides ongoing guidance to the Vice President of Grant Services in this area.
  • Builds a team culture that balances a disciplined, standardized approach to the Foundation’s procedures, due diligence, accountability, effective communication, and stewardship with a solutions-oriented and continual improvement focus. Also responsible for promoting and developing a management coaching culture that emphasizes training, regular feedback, and opportunities for growth creating a more engaged and energized team.
  • Collaborates with the Vice President of Grant Services to maintain and oversee the implementation and development of new and existing grantmaking protocols for CAF America, CAF Canada, and CADF.
  • Develops relevant budgets and contributes to the overall Foundation budgeting.
  • Prepares the necessary reporting and relevant information for CEO and board meetings and presents proposed protocol changes and relevant team initiatives to the board as needed.
  • Participates in business development forecasting, planning, and execution of initiatives related to charity validation and due diligence programs.
  • Coordinates with the Donor Services and Business Development teams as it relates to applications & validations, program implementation, timelines, and managing the overall charity experience.
  • Maintains balanced relationships with other teams, promoting teamwork and adherence to professional standards.
  • Responsible for leading projects and initiatives that will streamline processes, ensure adherence to regulations, and enhance the overall client and charity experience.
  • Represents CAF America at speaking engagements, conferences, and general client or charity outreaches.
Certifications/Misc.
  • Maintains certification in anti-money laundering and anti-terrorist financing regulations and policies and keeps up-to-date on changing regulations, ongoing risks, and best practices.
  • Acts as a final reviewer and approver of grant eligibility applications for unique and escalated cases, including those deemed high risk.
  • Serves on CAF America’s senior staff team to present, consult on, and implement organizational and departmental projects and strategy.
  • Maintains an information security access of User Access - Director of Grant Services.
Supervisory Responsibilities:
Is responsible for the overall direction, coordination, and evaluation of Grant Services. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, coaching, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
Computer Skills:
To perform this job successfully, an individual should have knowledge of Microsoft Word, Google Docs, Microsoft Excel, Google Sheets, grants management databases like CyberGrants and/or iPhi Core, and Salesforce.
Education/Experience:
Bachelor's degree (B.A./B.S.) from a four-year college or university; and eight or more years of related experience and/or training; or equivalent combination of education and experience. Directly relevant job experience may be substituted for education.
Certificates and Licenses:
Certificates in anti-money laundering, anti-terrorist financing, privacy, and leadership, which can be completed upon employment
