```Responsibilities:```
- Provide administrative support to ensure efficient operation of the office
- Answer and direct phone calls, take messages, and respond to inquiries (must have excellent phone skills, as well as personable when talking to clients)
- Scanning documents
-Data Entry (Microsoft Word and Excel)
- Organize and schedule appointments (maintaining calendar), meetings, and travel arrangements (Talking with clients in person)
- Maintain contact lists and manage correspondence
- Produce and distribute correspondence memos, letters, faxes, and forms
-Maintain a filing system
- Order office supplies and research new deals and suppliers
- Maintain an organized and tidy office environment
```Requirements:```
- Proven experience as an administrative assistant or relevant role
- Knowledge of office management systems and procedures
- Proficiency in MS Office (MS Excel and MS Word, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
The ideal candidate for this position will possess the following skills:
- Proficiency in phone systems and handling multiple phone lines
- Ability to file documents accurately and maintain an organized filing system
- Transcription skills for taking notes during meetings or dictation from supervisors
- General clerical skills such as copying, scanning, faxing, etc.
- Data entry skills for inputting information into spreadsheets or databases
- Strong organizational skills to keep track of multiple tasks and deadlines
- Computer literacy with proficiency in MS Office Suite (Word, Excel, PowerPoint)
- Ability to coordinate projects by managing schedules, resources, and deliverables
