Brentwood Baptist Church is Hiring a PT Administrative Assistant - West End (Columbia) Near Columbia, TN

The part-time Administrative Assistant for The Church at West End (Columbia) is responsible to the church, under the direction of the Campus and Teaching Pastor for providing professional administrative support for the campus staff and serving as receptionist and administrative manager of the church office. This person will also work closely with the Brentwood Baptist Church (Central Support) Business Office with maintaining general financial records and reconcile credit card month end statements.
PRIMARY JOB RESPONSIBILITIES may include but are not limited to the following:
  • Serve as the church receptionist by greeting any visitors and answering the telephone and door.
  • Participate in weekly staff meetings including working with the Campus & Teaching Pastor to prepare an agenda and any administrative support needed for the meeting.
  • Develop and maintain a high functioning use and understanding of the numerous organizational systems BrentwooBaptist Church utilizes.
  • Assist in maintaining accurate church records, including attendance, membership, baptismal, marriage, newsletter, special mailing lists, etc.
  • Provide reports and information as needed to the appropriate Central Support department including entry into Ministry Platform (church membership database) or Martus (church financial software).
  • Coordinate with the Communications Department to determine marketing and promotional priorities for the campus and collaborate in shaping the weekly email newsletter (E-Connect or Pastor’s Email).
  • Coordinate with the Facilities Department in the scheduling of meeting space, classrooms, outside events or other general maintenance of the facility (eSpace).
  • Travel to the Brentwood campus as needed for delivery/retrieval of time sensitive documents, campus mail, print projects, etc. (Mileage reimbursement provided).
  • Maintain a campus master calendar of events.
OTHER RESPONSIBILITIES may include but are not limited to the following:
  • Provide general administrative support primarily to the Campus & Teaching Pastor and, when available, to the other campus staff.
  • For each ministerial staff member, maintain records and receipts for credit card transactions, reconcile monthly credit card statements and code each transaction to the appropriate budget.
  • Monitor and maintain general office supplies for the church.
  • In accordance with the church facility use policy, coordinate details with any outside groups who use the facility for an event.
  • Coordinate any details related to congregational care with the Campus Teaching Pastor, Groups Care Minister, Congregational Care Coordinator, and other lay leadership such as Deacons or Nurture Team.
  • Maintain an office atmosphere that is representative of 1 Cor. 14:40 (“everything must be done decently and in order”).
  • If available and conducive with your schedule that week, prioritize attendance to all-staff Quarterly Staff Meetings.
  • Other duties as assigned by the Campus & Teaching Pastor.

EDUCATION & EXPERIENCE:
  • Minimum of a Bachelor’s degree is preferred.
  • Minimum of 2 years of experience working in the local church or Christian ministry context is preferred.
