Regional Maintenance Manager

Primary Responsibilities:

The Regional Maintenance Manager is responsible for mentoring and training on-site service team members throughout an assigned region in addition to ensuring all maintenance programs and processes are in place at each property in accordance with Bozzuto standards and all jurisdictional requirements.

The current position being filled includes maintenance oversight for a portfolio of properties. The size of the portfolio and locations of the properties within the assigned territory will fluctuate over time. The role requires frequent travel within the region to perform all of the responsibilities described below, including quarterly visits to each property, and may occasionally require travel outside the assigned region for special assignments.

As a Regional Maintenance Manager, your primary responsibilities include:

Site team development
  • Conduct interviews for Service Managers. Assist in conducting interviews for Assistant Service Managers as necessary
  • Participate in counseling/feedback sessions for Service Managers (performance, promotions, disciplinary, etc.)
  • Develop site staff in different disciplines based on site needs:
    • Technicians:
      • HVAC, plumbing, electric, appliance repairs, etc.
    • Managers:
      • Writing scopes of work, contract management, vendor management, budgeting.
    • Cross-site exposure:
      • Take team members to different properties for hands-on experience at different building types/mechanicals so they can provide sister sites with temporary relief as necessary.
Project Management
  • Work with the Service Manager, Property Manager and Regional Portfolio Manager at each property to execute the following:
    • Develop scopes of work for building related improvements not part of routine maintenance (e.g., like-in-kind equipment replacement, site upgrades, etc.)
    • Bid solicitation – Meet with vendors to obtain pricing
    • Bid evaluation – Review quotes and make recommendations to ownership about how to proceed
    • Contractor oversight – Monitor progress of project, participate in calls, emails, etc. as necessary
    • Project closeout – Attend vendor trainings, accept and archive project-related documents, approve completion
Budgeting
  • Perform annual capital and operating budget walks at each site
  • Solicit budgetary proposals
  • Participate in budget review meetings with PMs, RPMs, SVPs and asset management teams
  • Assist in preparing 5-year capex/opex plans for each site
Site Safety Inspections
  • Perform site walks to make sure sites are operating per Bozzuto’s standard
  • Inform sites of any safety concerns and make recommendations to rectify
New Construction
  • Advisory:
    • Make recommendations to clients on new construction/development projects
      • Multi-discipline (Architectural, MEPF, landscaping, etc.) recommendations for apartment homes, common areas, building exterior, retail spaces, etc.
      • Operational maintenance needs
    • Create maintenance start up budget
  • Property punch/commissioning
    • Oversee the initial punch process and accept new units for our clients.
    • Witness equipment start-up and commissioning.
Emergency response
  • Ensure that site teams are knowledgeable about emergency shut-off valve locations and proficient in emergency response procedures. Make sure emergency manuals are in place and up to date during regular inspections.
  • Assist site team with coordinating emergency response as needed when emergency situations do arise (fire, flood, remediation, etc.)
Troubleshooting
  • Serve as a point of escalation for site teams to trouble shoot any issues with the building or building systems. Provide guidance on the appropriate in-house maintenance tasks or recommend outside contractors or consultants if needed to resolve the issues at hand.
Management transitions
  • Perform initial inspection of a site as Bozzuto acquires management of a site
    • Provide status of existing conditions at site
    • Provide suggested improvements
    • Participate in execution of improvements as necessary
    • Compose start-up budget for site
Due Diligence
  • Perform inspections of sites for our clients for potential purchases
    • Tour the site and document observations on the building and building systems, and maintenance operations and service contracts
    • Provide recommendations for improvements where required
    • Summarize the above in the required report format
    • Assist in developing a Maintenance start-up budget for the site
Vendor relations
  • Assist site team in utilizing all beneficial Bozzuto preferred supplier programs
  • Also assist in establishing new relationships with local vendors when needed to ensure all necessary outside service contracts are in place.

Quarterly Inspections

Perform quarterly inspections at all properties. Each quarterly visit will have a seasonal focus/scope that includes elements of support, training, development, and inspection as outlined below:

    Q1: January – March
    The first quarter visit will focus on team training and development, colleague safety, shop areas, maintenance documentation, and brand standards. It shall also include a follow up on any capital projects approved for the upcoming year and to finalize contracts and planning for same. Focus on site staff development. Can range from new company policies/procedures to refreshers on apartment home electric, plumbing, HVAC, turns, etc. Communicate with the Property and Service Managers before each visit to tailor the visit to a site’s specific needs
    Q2: April – June
    The second quarter visit will include a thorough property inspection of the building, central plant, mechanical systems, life safety systems, interior common/amenity areas and garage. It will also focus on budgeting/capital improvements. The first round of capital budget submissions is usually due to ownership at the end of August/early September. During this visit, a list of proposed capital projects should be created for the following year, and we should begin to develop a scope of work for each project and discuss what contractor bids should be solicited.
    Q3: July – September
    The third quarter visit would focus on working with the Service Manager and Property Manager on completing the capital budgets. Ensure that the site team has fully developed scopes of work and contractor pricing so that the capital budget submission is ready to present to ownership. Participate in subsequent budget meetings or conference calls with SVP’s and/or ownership groups as needed.
    Q4: October – December
    The fourth quarter visit will be a semi-annual building and site inspection but with focus on mechanical equipment and site conditions, making sure the property is properly prepared for winter (heat trace working, snow removal inventory adequate, etc. Continue project management process on any approved work (negotiate contract terms with contractor)

What You Bring to Us:

  • 10 years of experience in commercial facilities and/or residential building maintenance
  • 5 years of supervisory experience and a track record of hiring, developing and retaining high performance maintenance teams.
  • Highly skilled in the building trades with emphasis on mechanical systems repair, service and installation (HVAC, Plumbing, Electrical)
  • An understanding of complex central plant mechanical systems (cooling towers, boilers, chillers, heat exchangers, pumping systems, building automation systems, etc.), site safety systems (fire alarm systems, sprinkler systems, emergency generators, etc.), and elevator maintenance programs.
  • Experience in planning and managing interior and exterior capital projects.
  • Knowledge of laws and standards that apply to property management, such as Fair Housing Laws, Landlord-Tenant regulations, OSHA Standards, and national/state/local building codes.
  • Must be well organized and results driven with the ability to lead and participate in multiple projects simultaneously in a fast paced environment
  • Available to work flexible hours, travel to multiple sites, and be on-call in order to respond to emergency situations.
  • Excellent verbal and written communication skills.
  • Proficient in Yardi and Microsoft Office software programs, and the ability to quickly learn, apply and support other technology platforms related to maintenance and property operations.
  • Valid driver’s license and proof of automobile insurance coverage. And must be able to occasionally fly to other regions in the U.S. on short notice when needed for special assignments.
