Description
Boys & Girls Clubs of Tucson is currently accepting applications for the Events Project Manager to support our school year programs. As a member of the Resource Development Team, the Events Project Manager will support and plan all Club events. This individual will collaborate extensively with staff at all levels of the agency to obtain the information needed to produce events that meet the needs of the Clubs.
Requirements
Manage and coordinate the implementation of special fundraising and programming awareness events
Identify and execute new and innovative fundraising events to build awareness for the Club members and the community
Collaborate with all members of the Resource Development team to adapt and create messages and vehicles for promoting special events to the public and Club members
Assist in the coordination of volunteer activities required for special events, and manage all vendor relations
Manage the planning and logistics of the following but not limited to; live and silent auctions; sponsorships; ticket sales and distribution; event raffles; day of management (set up, implementation, tear down, etc); interaction and coordination with attendees, donors, volunteers and board members, event follow-up
Must be able to coordinate all aspects of event management through the mastery of the existing event management platform, including integrating data with donor management and best practices
Must be able to train others for event support
Contribute to the implementation of special event strategies designed to build awareness, appreciation and support for Club programs, services, and activities
Assist in the development and execution of special event sponsorship opportunities to increase fundraising revenue to include the control of special event expenditures against the established budget
Develop and implement strategic initiatives by meeting and exceeding core special events objectives
Present new fundraising ideas and concepts to the appropriate leadership
Ensure vendors provide cost-effective and timely delivery of products and services
Establish and maintain procedures and formats for execution of events and activities, which may include but are not limited to event timeline and program; vendor selection and negotiation; delegating job duties; managing all silent and live auction activities; tracking all sales; and executing all event follow up including vendor and donor invoices
Help to maintain working relationships with donors to ensure positive event experiences
Regularly evaluate, audit and report on the overall quality and objectives of events
Assist in the facilitation of donor/event attendee post communication, including receipts and thank you letters as needed
Assist in marketing and social media information as related to events
Collaborate with program staff and senior leadership to obtain necessary information for events.
Maintain a sound knowledge of the Club’s mission, programs, target population and strategic vision.
Fulfill other responsibilities as requested by the VP of Resource Development.
Work Environment
· No unusual physical requirements. Nearly all work is performed in a comfortable indoor facility. Role may work remotely.
· Routine deadlines (usually sufficient lead time); variance in work volume seasonal and predictable; priorities can be anticipated; interruptions are common.
· Job frequently requires sitting, standing, walking, handling objects with hands, talking, hearing, typing and looking at a computer screen. Job occasionally requires reaching and lifting up to 10 pounds.
General Club operating hours are Monday-Friday from 2 PM to 7 PM, Wednesdays 1-7pm (August-May). Summer hours are Monday-Friday 8:30 AM to 5:30 PM (June and July).
Requirements Minimum Qualifications
· Qualified candidates must have a high school diploma or equivalent; Bachelor’s degree preferred, or equivalent experience.
· Skilled in event planning and project management
· Organizational and project management skills
· Ability to meet project deadlines
· Experience working independently and as a team player
· Proficiency in Microsoft Office preferred
