BlueSun Inc has an excellent opportunity for a full-time temporary Administrative Assistant for Clean Water Services in Tigard
GENERAL STATEMENT OF DUTIES:
Performs a wide variety of responsible and complex administrative and technical duties for a program, professional staff, or manager. 
ESSENTIAL FUNCTIONS:
(The essential functions listed below are not intended to reflect all duties that may be assigned to this classification. The District may augment duties and/or essential functions at its discretion. Additionally, some incumbents may not perform all Essential Functions):
  • Provide administrative support relating to the operation of a District department including composing regular and confidential correspondence, compile and present data; prepare spreadsheets and databases; prepare reports on financial, technical or administrative issues; coordinate mailings of District construction projects to property owners; organize and maintain complex filing systems; prepare meeting agendas and minutes; maintain calendars; schedule meetings; and assist in budget preparation and monitor expenditures.
  • Assist in the preparation of legal contracts and forms; coordinate bidding process; coordinate all requests for bid information; enter purchase orders for project tracking; submit approved contract invoices for payment. 
  • Oversee, organize, assign, and review staff’s work; develop performance standards; prepare performance evaluations; provide coaching and prepare development plans; implement disciplinary procedures.
  • Respond to and resolve internal and external customer complaints and requests for information; explain policies, procedures, and controlling regulations relating to assigned responsibilities.
QUALIFICATIONS FOR ENTRY:
KNOWLEDGE OF: business English, spelling, punctuation, grammar, and math; contemporary office management practices and procedures; record-keeping and office filing; basic principles of data collection and report compilation; methods and procedures of budgeting and fiscal monitoring.
In addition to the knowledge listed above, some may also require the following knowledge:
Knowledge of: principles of supervision; teambuilding and coaching techniques and practices.
SKILL IN: use of computers and computer software including word processing, spreadsheets, and databases; keyboarding at a speed necessary for successful job performance.
In addition to the skills listed above, some may require the following skills:
Skill in: planning, organizing, directing and reviewing the work of administrative support staff and technical personnel; supervising, training, disciplining and evaluating staff.
ABILITY TO: research, analyze and summarize data; monitor budget revenues and expenditures; establish and maintain effective working relationships with those contacted in the course of work including a variety of District and other government officials, community groups, and the general public; operate effectively in a team environment; communicate effectively, both orally and in writing.
Experience and Training Guidelines:
Any combination of experience and training that would likely provide the required knowledges, skills, and abilities is qualifying. A typical way to obtain the KSAs would be:
Increasingly responsible experience in secretarial or advanced administrative support work, and specialized office administration training in office software, filing and records management, business writing, data management, and related fields.
