The Administrative Coordinator is a critical member of the team setting the tone for our fun, engaging and dynamic work environment. The successful candidate will create an organized, positive, and engaging work environment, executing proactively and with high standards to meet the needs of the team. This is a full-time position and requires in-person work at our Herndon office. As this is an in-office position, reliable transportation is expected.

Responsibilities:

  • Run the daily office operations for our Herndon location.
  • Ensure the office workspace and common areas are clean, safe, and organized.
  • Greet visitors with warm hospitality and host candidates during in-office interviews and complete the guest registration process.
  • Support the EA team and other executives through tasks as needed.
  • Oversee confidential materials, meetings, schedules.
  • Send and receive mail, package shipments, and deliveries.
  • Answer the main office phone line.
  • Order and keep drinks, snacks, and office supplies well-stocked.
  • Coordinate with building management and vendors on facilities and maintenance issues.
  • Coordinate internal operational systems including keycards for employees and all facilities.
  • Additional facility oversight and customer support as needed.
  • Assist in planning company local events for the holidays and quarterly events, as needed.
  • Coordinate catering needs when needed (ordering, set up, and take down).
  • Position requires the ability to stand, squat, reach, and lift up to 50lbs.
  • Additional responsibilities as needed.

Required Qualifications:

  • Prior experience providing administrative and office support.
  • Strong proficiency with Microsoft Office Suite, especially Outlook and calendar management.
  • Ability to prioritize and handle multiple assignments as well as take initiative to accomplish tasks.
  • Excellent customer service, professionalism, and written/verbal communication skills.
  • Highly dependable, punctual, and responsible. Comfortable working with confidential matters.
  • Associate’s degree, bachelor’s degree preferred.

Preferred Qualifications:

  • At least one year in a business environment.
  • Event coordinating experience.
