Concrete Masonry and Hardscapes Association is Hiring a Coordinator, Administrative Near Herndon, VA

We are seeking a Coordinator, Administrative to provide administrative support across multiple departments, including administration, education/certification, engineering/technical, events/meetings, marketing, and membership. The successful candidate will demonstrate strong organizational and technical abilities, exceptional customer service skills, and the capacity to work effectively with internal and external audiences. Reporting to the respective department heads in collaboration with the Office Administrator, the Coordinator will receive training and supervision tailored to each department's needs. Coordinators will share responsibilities as co-receptionists, handling general inquiries and managing communication channels.

  • Assists the Office Administrator with assigned project-based work for departments across the association.
  • Works with the Office Administrator in managing the association management software (MemberSuite). This includes but is not limited to, accessing records, providing assistance with inquiries, ensuring consistency in entries, running reports, invoicing, managing email templates, and handling password resets.
  • Maintains and distributes the industry calendar, and collaborates with the marketing team to ensure the website is updated with upcoming and future events.
  • Supports accounting and financial management activities including reconciling invoices, deposits and backing up the staff accountant as necessary.
  • Provides support with the Committee Day process by assisting with updating applications, preparing e-blasts, creating a master committee spreadsheet, and scheduling dates.
  • Collaborates with the technical team in managing the overall process for the Safety Awards. This will include the promotion, application collection, result analysis, member outreach, award ordering, and distribution of information to key audiences.
  • Serves as support to the membership team with tasks such as sending out membership dues renewals, distributing annual and quarterly statements, managing the collection process, updating the master spreadsheet, and running reports.
  • Provides event and meeting support, including administrative preparation, registration and onsite or in-person assistance.
  • Manages office supplies, including ordering essential items based on low inventory and fulfilling requests from staff and contracted vendors.
  • Assists in managing the phone system and the creation of new phone schedules.

Education / Work Experience Requirements

  • College degree preferred.
  • A minimum of 3 – 5 years of previous association or office experience is a plus.
  • Technical proficiency with MS Office Suite (Excel, Outlook, PowerPoint and Word), Adobe Acrobat and database management programs.
  • Must be highly organized with the demonstrated ability to manage and prioritize multiple projects.
  • Assertive, able, and willing to take on new responsibilities.
  • Detail-oriented with excellent organizational skills.
  • Ability to plan, prioritize tasks, and solve problems.
  • Works both autonomously and with direction in collaboration with the Office Administrator, teams or other colleagues.
  • Team player who also works independently.
  • Strong oral and written communication skills.
  • Customer service focused with a positive and friendly attitude.
  • Quick learner who is creative and adaptable.
  • Ability to travel (minimal).

Physical Requirements

  • Ability to safely and successfully perform the essential job functions consistent with the ADA and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA and other federal, state, and local standards.
  • Must be able to lift and carry up to 50 lbs.
