Grade SG-15
Salary $56,355 - $68,269

The Administrative Assistant II for the Graduate School will provide support to the Dean of the Graduate School.

This individual will ensure efficiency and effectiveness of the daily operations of the Dean's office and is responsible for coordinating multiple, complex priorities in a demanding, fast paced environment. As an integral member of the Dean's office, the person in this position works closely with the Dean and members of the Dean's office; acting as liaison between the Dean and Graduate School's department, University offices, and external community, as requested by the Dean.

This individual will deal with highly confidential information and must possess and demonstrate professional discretion at all times. The individual must have strong professional organizational, coordination and interpersonal skills and be able to speak, write and communicate in an articulate and successful manner. The individual must have the ability to problem solve, prioritize, and manage multiple tasks as well as to analyze and organize information and materials for a variety of projects. The individual must have excellent people skills and be able to provide a service in a friendly and competent manner.

This individual will assist the Office of the Executive Vice President/Provost and Dean of the Graduate School with graduate program reviews, maintain the schedule for reviewers, and work with the academic departments being reviewed. This individual will be responsible for accurately recording and transcribing meeting minutes at high-level executive sessions. This individual will work with the Associate Dean of the Graduate School to maintain the graduate course database. In addition, the individual will prepare letters, vouchers, and certificates for the Graduate School Excellence and Travel Grant Awards; expediate requisitions/purchase orders; manage incoming calls, e-mails and visitors and respond to questions and issues.

Non-competitive:
Administrative Assistant II civil service position; no civil service test is required for appointment to this position.

Five years executive-level secretarial experience required.

Associates degree desirable.

Excellent communication (oral and written) and organizational skills are required.

Ability to analyze, problem solve, prioritize and organize information.

Must be comfortable with frequent change and possess the ability to perform under pressure and deadlines.
